Virtual Items
The Virtual Item feature allows the user to create an alias or a "nickname" for an existing product. It is used when the same physical item needs to be sold or tracked under a different name, code, or barcode without creating a separate stock record. Since the virtual item is linked to a Parent Item, any sale of the virtual item automatically reduces the stock of the parent item.
Example Scenario
Suppose you sell a "Red Ballpoint Pen" (Parent Item). You might want to create a Virtual Item called "Office Writing Tool" for a specific corporate client who requires that name on their invoices. When you sell 5 "Office Writing Tools," the system automatically deducts 5 units from your "Red Ballpoint Pen" inventory.
Add Virtual Item Form
To create a new link, click the + Add New button to open the entry form:
- Parent Item: Select the actual physical product that holds the stock. You can click the + icon to create a new parent item if needed.
- Virtual Code: Enter the unique identification code for this alias version of the item.
- Barcode: Assign a specific scannable barcode for the virtual item. This can be different from the parent item's barcode.
- Quantity: This defines the ratio. For example, if the virtual item is a "Pack of 10," you would enter 10 so that one sale of the virtual item deducts 10 from the parent stock.
- Unit: Choose the unit of measure for this virtual version (e.g., Box, Pack, or Centimeter).
- Description: Enter the display name for the virtual item as it should appear on sales documents.
- Category: Assign the virtual item to a specific category for better reporting.
- + Add: Click this to save the virtual item and start using it in transactions.
- Cancel: Click this to close the form without saving.
