Virtual Items New

Virtual Items New

A Virtual Item is an alias for an existing product — a second name, code or barcode for something you already stock. It exists so one physical item can be sold under different identities without splitting its stock into separate records.

Where to find it

Go to Inventory > Virtual Item > + Add New.

Virtual Items

The alias is linked to a parent item. Because stock stays with the parent, there is only ever one quantity to maintain and no possibility of the two drifting apart.

Example Scenario

You stock a cable under your own code CBL-100. A retail customer requires it labelled with their part number ACME-77 on every document. Create a virtual item with that code and description, linked to CBL-100. Invoices to that customer show their part number; stock still comes off the one physical item.

Add Virtual Item Form

FieldRequiredDescription
Parent ItemYesThe physical item stock is drawn from.
Virtual CodeYesThe alias code used on documents.
DescriptionYesThe alias name the customer sees.
BarcodeNoA separate barcode for the alias, where the packaging differs.
Unit conversionNoThe ratio, where the alias is sold in a different unit from the parent.
Use a virtual item when one product needs a second identity, and a kit when several products are sold together. Reaching for the wrong one leaves stock figures that do not behave as expected.
