New Tasks

A task is a crucial component of a larger process or project, typically segmented into smaller, manageable parts to ensure the successful completion of the overall objective. Each significant project is accomplished through milestone achievements, with tasks serving as the building blocks for these milestones. Tasks can be connected to various entities, such as projects, customers, leads, suppliers, and more. For projects, tasks are particularly important as they can be tied to billing, making them essential for tracking both progress and costs.

Tasks can be classified as billable or non-billable, with billable tasks being tied to specific projects for invoicing purposes. Currently, only tasks related to projects can be billed, whereas tasks associated with customers, leads, or suppliers are not billable. Tasks are actions that need to be completed, such as a reminder to contact a customer on a specific date. When creating tasks, you can assign them to team members and designate followers to track their progress.

Steps to Create a New Task:

  1. Navigating to the Task Creation:

    • Go to CRM > New > New Tasks in the TamilAccounting ERP.
    • A "New Task" pop-up window will appear on the screen.
  2. Filling Out Task Details:

    • Select a Type: Choose the type of task you want to create. This could be related to a project, customer, lead, or another entity.
    • Select a Lead: If the task is related to a lead, select the appropriate lead from the dropdown menu.
  3. Entering Task Information:

    • Task Name/Title: Enter a clear and descriptive title for your task. This will help in identifying the task in lists and reports.
    • Description: Provide a detailed description of the task, outlining its objectives and any specific instructions.
    • Public: Check this box if the task should be visible to everyone with access, or leave it unchecked to keep the task internal and visible only to specific users.
    • Billable: Check this option if the task is billable, meaning it will be tracked for time and costs associated with it, especially if it’s part of a project.
    • Start Date: Select the date when the task is expected to begin.
    • Due Date: Select the deadline by which the task should be completed.
    • Hourly Rate: If applicable, enter the hourly rate that will be charged for this task. This is especially important for billable tasks.
    • Assigned To: Choose the team member responsible for completing the task from the dropdown menu.
    • Priority: Select the priority level of the task (e.g., Low, Medium, High) to indicate its urgency and importance.
    • Status: Set the current status of the task (e.g., In Progress, Completed) to track its progress and monitor its completion.
  4. Adding Custom Fields (Optional):

    • Add Field: If you need additional fields to capture more specific information, use the "Add Field" button to create custom fields. Custom fields can be enabled through Setup > Preferences. You can specify the data type for each custom field, such as dropdown menus, text boxes, or checkboxes.
  5. Finalizing the Task:

    • After filling out all required information, click the "Add New" button to add and confirm the task. The task will then be included in the task list.
  6. Filtering and Managing Tasks:

    • Once the task is created, it will appear in the task listing. Use the available filters to narrow down the tasks you need to view. Filters might include task type, priority, status, and assigned team members.
