Stock Balance Adjustment

Stock Balance Adjustment loads stock quantities and values. It is how opening stock enters the system at cut-over, and how bulk corrections are applied afterwards. Both positive and negative quantities are accepted.

Where to find it

Go to Setup > Import Export > Inventory Adjustments. Import items first.

Format Data

ColumnWhat it holds
DateThe date the stock is recognised. For opening stock this is your cut-over date.
LocationThe warehouse the stock sits in. Import per location where you hold stock in several places.
Stock IDThe item code. Must match an item that exists.
BatchThe batch number, for batch-tracked items.
Expiry DateThe batch expiry, where tracked.
QtyThe quantity. Negative values are accepted for corrections.
Standard CostThe unit cost. This becomes the item's cost basis, so it must be cost, not selling price.
MemoA note explaining the adjustment.
Value opening stock at cost. The figure here becomes the cost of goods sold on everything later sold from that stock, so an inflated cost understates your margin from day one.

What it posts

Stock increases at the location, with the contra going to the inventory adjustment account set in System and GL Setup.

Errors and exports

If rows fail, the system returns your file with a Memo column added, naming the problem on each bad row — fix those rows and upload again. Every module supports export as well as import, so you can pull current data out in the same format.
