Bank Deposit View
The Bank Deposit view serves as a comprehensive record of funds received and deposited into the company's bank or cash accounts. It is used to document income that isn't necessarily tied to a specific sales invoice, such as capital infusions, interest earned, or miscellaneous refunds. This interface ensures all incoming capital is tracked, categorized, and reconciled for accurate financial reporting.
Deposit Data
The header provides the essential tracking information for identifying the deposit:
- Reference: The unique internal system number assigned to the deposit (e.g., 003/2026).
- Date: The date the funds were officially deposited or received (e.g., 29/03/2026).
- Created By: The staff member who logged the deposit entry.
- Created On: The system-generated timestamp of when the record was made (e.g., 29/03/2026 12:33 PM).
Bank Deposit Information
This section details where the money is going and the nature of the transaction:
- From Bank Account: The destination account where the funds are being placed (e.g., Cash 2).
- Amount: The total value of the deposit (e.g., 1,000.00).
- Deposit Type: The category of the account receiving the funds (e.g., Cash Account).
- Currency: The currency type of the deposited funds (e.g., INR).
- Choose File: Use this to attach supporting documentation like deposit slips, checks, or bank notifications.
Line Details
This tab specifies the source of the funds and how they are allocated across the ledger:
- Account Description: The General Ledger account representing the source of the money (e.g., 1200 - Accounts Receivables).
- Counterparty: The external person or company from whom the money was received.
- Branch/Department: Internal tags used to attribute the income to a specific sector of the business.
- Amount: The specific sum allocated to this ledger line (e.g., INR 1,000.00).
- Memo: A short description for internal reference regarding this specific line item.
General Ledger Tab
This tab illustrates the accounting impact, showing the balanced debit and credit entries:
- Debit: The increase in the company's assets, usually the bank or cash account.
- Credit: The corresponding decrease in another asset (like Receivables) or increase in income/equity.
- Total: Shows that the transaction is balanced (e.g., INR 1,000.00).
Bank Deposit Status
The status badge indicates the current state of the record:
- Posted: The deposit is finalized and has officially updated the General Ledger balances.
- Voided: The deposit record has been canceled and the accounting entries reversed.
Action Buttons
- Print: Generates a printable version of the deposit voucher.
- Edit: Allows for changes to be made to the deposit if it hasn't been locked or reconciled.
- Void: Cancels the deposit entry entirely while maintaining a record for audit purposes.
