GL Accounts
GL Accounts are the individual ledger codes every transaction posts to. Together they form your chart of accounts — and the group each one belongs to is what decides where it appears in the trial balance, profit and loss, and balance sheet.
Where to find it
Two routes to the same screen:
- Financial Statement > General Ledger > Settings > GL Accounts > Add New
- Setup > General Ledger > GL Accounts > Add New
Fields and Descriptions
| Field | Required | Description |
|---|---|---|
| Account Group | Yes | The group this account belongs to. It determines where the account appears in financial statements — see GL Account Groups. |
| Account Code | Yes | The unique code identifying the account. Alphanumeric or numeric, following the account code type set in System and GL Setup. |
| Account Name | Yes | The descriptive name shown on reports and in dropdowns. |
| Tags | No | Labels for cross-cutting reporting — see Account Tags. |
| Status | No | Whether the account is active and selectable. |
The Account Group is the consequential choice. An expense account placed in an asset group does not error — it simply reports in the wrong statement, and the mistake surfaces when the accounts do not make sense.

Managing accounts
Edit updates an account; the inactive toggle retires one. An account carrying postings cannot be deleted — the history depends on it, so deactivate instead. Tick Show also Inactive to see retired accounts.
