Automatic Email Reports
Automatic Email Reports schedule a report to be generated and emailed without anyone running it. Owners get their figures on a Monday morning, accountants get month-end summaries, and nobody has to remember to send them.
Where to find it
Go to Setup > E-Mail & SMTP > Automatic Email Reports.
Field reference
| Field | Description |
|---|---|
| Reports | Which report to send. The list depends on the modules in your subscription. |
| User | Who receives it. Only users with permission for that report can be selected. |
| Schedule | How often it is sent — daily, weekly, monthly. |
| Format | The attachment format, typically PDF or Excel. |
Example Use Case
A business owner wants sales figures every Monday without logging in. Select the sales summary report, choose the owner as the user, set a weekly schedule, and it arrives each week as an attachment.
Note
- Recipients must have permission for the report. The system will not email someone a report they could not open themselves.
- Delivery depends on working SMTP settings and on the background job running.
- Schedules keep sending until you remove them. Review them when people change roles or leave.
FAQ
| Question | Answer |
|---|---|
| The report never arrives | Check Email Log first. No entry means the background job did not run; an entry with an error means an SMTP problem. |
| Can I send to someone without a user account? | No. Recipients are selected from users, since permissions govern who may see a report. |
| Can one report go to several people? | Yes — create a schedule per recipient. |
| Which data does it cover? | The period implied by the schedule, produced at the moment it runs. |
