Locations

The Inventory Settings area allows the user to configure the foundational data required for the inventory module to function. This includes defining physical warehouse locations, units of measure, and shipping providers. Properly setting up these parameters ensures that stock is tracked at the correct site and that transactions are measured accurately. To access this list, navigate to Inventory > Click the "Settings" icon (top right) > Select the "Locations" Tab. These locations are also commonly referred to as Warehouses or Inventory Locations and are used across most ERP modules, including Sales, Purchases, Manufacturing, and others, to ensure accurate stock tracking and movement.
 
Locations Table
This table displays all the physical or virtual sites where stock can be stored, received, or transferred.
  • Location Code: A unique short-hand identifier for the warehouse or site.
  • Location Name: The full descriptive name of the site (e.g., Salem, Erode).
  • Address: The physical street address associated with the location, used for delivery documentation.
  • Phone / Secondary Phone: Contact information for the personnel at that specific site.
  • Inactive: A toggle switch indicating the status of the location. Red indicates the site is active; if toggled to "Yes," the site will be hidden from selection in transaction windows.
 
Add New Location
The blue + Add New button opens the Add Location modal window. This form is used to register a new storage site in the system.
  • Location Code: Assign a unique code for the new site.
  • Location Name *: Enter the mandatory full name of the location.
  • Contact for deliveries: Specify the name of the person responsible for receiving goods at this site.
  • Address: Enter the full geographical address for logistics purposes.
  • Telephone No / Secondary Phone Number: Input the primary and backup contact numbers.
  • Facsimile No: Enter the fax number if applicable.
  • E-mail: Provide the contact email address for site-specific notifications.
  • Action Buttons: Click + Add to save the new location or Cancel to discard the entry.
 
Action Buttons
Manage existing locations using the controls on the right side of the table:
  • Edit (Pencil Icon): Modify the address, contact details, or name of an existing location.
  • Delete (Trash Icon): Remove a location from the system. Note that locations with existing transaction history or current stock cannot be deleted; they must be marked as Inactive instead.
  • Show also Inactive: Check this box at the bottom left to view previously deactivated locations in the list.
