Site Review
Site review puts the site manager between a portal expense claim and the finance approval workflow. The person who knows whether the work was done, and whether the receipt matches it, sees the claim first. Finance then approves a claim that has already been checked by somebody who was there.
Where it fits
| Step | Who |
|---|---|
| 1. An employee submits an expense claim from the portal | The claimant. |
| 2. The claim is held for site review | Nobody — it is waiting. |
| 3. The site manager approves or rejects it | The project's site manager. |
| 4. An approved claim enters the normal approval workflow | Finance approvers. |
Where no approval rule is configured, an approved claim is finalised at step 3 instead of waiting for a queue that does not exist.
Which claims are held
| Case | What happens |
|---|---|
| The project has a site manager | The claim goes to them. |
| The project has no site manager | The review is skipped entirely. |
| The claimant is a configured finance approver | They bypass the gate. |
| The claimant is the site manager | Their own claims are exempt — nobody reviews themselves. |
The site manager is named on the project, so a claim always routes to the manager of the project it belongs to.
Reviewing a claim
The reviewer sees the claim with everything needed to judge it:
| Shown | Why it matters |
|---|---|
| Receipts | The attachment behind the claim. Approving without seeing it is not a review. |
| Each line's expense code | Which expense type it was claimed under. |
| Line description and memo | What was actually bought. |
| Category | How it is classified. |
The decision
| Decision | Effect |
|---|---|
| Approve | Promotes the claim into the approval workflow, or finalises it where no rule is configured. |
| Reject | Voids the claim. A note is required — the claimant needs to know what was wrong. |
Where reviews are done
| Route | Notes |
|---|---|
| Site Review in the ERP | The web screen, on the TenderPro page. |
| The portal | The site manager's own portal, for reviewing from site. |
Doing it from the portal is the usual case — the point of the step is that somebody on site checks it, and asking them to come back to a desk defeats it.
Who can see a receipt
A claim's receipts are visible to the claim's own owner, and to the site manager of a review for that claim. Nobody else can reach them, including a site manager on a different project.
Turn site review on where claims come in from site and finance cannot tell a genuine one from an optimistic one. Where all claims are raised by people finance already knows, the extra step costs time and adds nothing — leave the project's site manager unset and claims flow straight through.
