Quality Holds

Quality Holds

A quality hold is stock that failed and must not be used until somebody deals with it. Holds are raised automatically when an inspection fails or a lot is rejected, and they stay on the register until they are closed. The register is the one place to see everything currently blocked, whichever document it arrived on.

The statuses

StatusMeaning
OpenRaised and waiting. The stock is blocked but has not been moved anywhere.
QuarantinedPhysically moved to the quarantine location so nobody picks it by mistake.
ReleasedClosed and the goods returned to normal stock.
RejectedClosed as unusable — scrapped or returned.

What you can do with one

ActionEffect on stock
QuarantineA stock transfer moves the held quantity to the quarantine location set in General settings. It may be the same as the inspection location.
ReleaseThe quantity is transferred back into the location it can be used from, and the hold closes.
ReturnThe goods go back where they came from. Use this for supplier returns.
ScrapThe quantity is written off and the hold closes as rejected.
ReopenPuts a closed hold back to open if it was closed in error.

Every action asks for a date for actions and takes an optional memo. The date is what the stock movement is posted on, so it must be in an open period. The action itself needs Quality Holds permission.

Reading the register

Filter by item, by source document type, by status, or show only what is still held. Each row links back to the inspection that raised it and to the document the goods arrived on, so you can always get from the blocked quantity to the evidence behind it.

A hold does not by itself create a non-conformance report. If Raise an NCR when a lot is rejected or an inspection fails is switched on, the NCR is raised at the same moment as the hold and the two are linked; otherwise raise the NCR yourself when the problem needs investigating rather than just disposing of.

Holds and the documents

Any document that can be inspected shows its own holds on its Inspections tab, under the inspections themselves. That is usually the fastest route: open the receipt or the production run, and the blocked quantity is there with the inspection that caused it.
