New PDC
New PDC records a post dated cheque against a customer. It captures the cheque itself — number, bank, dates and amount — and puts it into the collection cycle so it is presented on the right day rather than sitting in a drawer past its date.
Where to find it
Go to Sales > New > PDC.
Field reference
| Field | Required | Description |
|---|---|---|
| Customer | Yes | Who the cheque is from. The person cannot be left empty. |
| Cheque No | Yes | The number printed on the cheque. |
| Cheque Bank | Yes | The bank the cheque is drawn on. |
| Bank Account | Yes | The account you will bank it into. |
| Date Issued | Yes | When the cheque was written. |
| Cheque Date | Yes | The date it becomes bankable — the whole point of a post dated cheque. |
| Date to be Processed | No | When you plan to present it. |
| Amount | Yes | Its value. |
| Memo | No | What the cheque is against. |
Enter the cheque date exactly as written, not the date you received it. Presenting a cheque before its date is what gets it returned, and the returned-cheque charge usually lands on you rather than the customer.
What happens next
- The cheque appears in the PDC list as Cheque Received.
- On or after the cheque date, Send to Collection.
- When the bank confirms, Collect Amount clears it and posts to the ledger.
- If it bounces, record a rejection with the reason.
Cheques from other parties
The same form records cheques from suppliers, employees and general ledger parties — the only difference is which party the cheque is attached to. See Supplier PDC, Employee PDC and GL PDC.
