Period Statement
The Period Statement assembles your figures for a period into one document and emails it. It is built for the recurring pack — the monthly set an accountant, auditor or owner expects — so the blocks you choose and the recipients you send to are saved as a setup and reused rather than rebuilt each month.
Where to find it
Go to Financial Statement > Period Statement.
Building the statement
| Control | What it does |
|---|---|
| Statement period | The dates covered. Reload the statement for this period rebuilds it. |
| Blocks to include | Which sections appear. The count shows how many of the available blocks are selected. |
| Jump to | Moves to a block on a long statement. |
| Expand all / Collapse all tables | Opens or closes the detail under every block at once. |
The blocks
| Block | Covers |
|---|---|
| Headline figures | The summary position. |
| Income | What was earned. |
| Costs & Expenses | Cost of sales and overheads. |
| Cash in vs cash out | Money In and Money Out for the period. |
| Bank position | Closing bank and cash, with what has cleared. |
| Customer Payments / Employee Payments | Receipts and payments by party. |
| Bank Deposits / Bank Payments / Bank Transfers | Direct bank movement. Transfers are internal movement and are excluded from cash flow. |
| Expenses | Direct and indirect expense vouchers. |
| Employee Reimbursements | Claims raised by employees. |
| Input tax credit | Tax recoverable for the period. |
Each block states what it covers in a line beneath its heading, so a recipient who does not live in the ERP can read it without asking what a figure means.
Saved setups
| Action | What it does |
|---|---|
| Start from a saved setup | Loads a previous selection of blocks and recipients. |
| Reuse this setup | Replaces what is on screen with the saved one. |
| Save | Stores the current selection under a name, such as Monthly auditor pack. |
This is what makes the screen worth using. The value is not in producing one statement; it is in producing the same statement, to the same people, every month, without anybody having to remember what was in it.
Sending it
Send by Email runs in two steps.
| Step | What you do |
|---|---|
| Step 1 · Compose | Recipients, Copy to, the subject and an optional Intro note. |
| Step 2 · Preview | See the email exactly as it will arrive, then Send now, or go back and change the recipients or wording. |
A subject line is required. Addresses are validated before anything is sent, and invalid ones are named rather than silently dropped. After sending, the screen confirms how many recipients it went to; anything that could not be delivered is reported with the address.
Print and export
Print / PDF and Export Excel produce the same statement as a file, for when it has to be attached to something else or worked on.
Reload the statement before sending if the period is recent. The statement is built when you open it, and postings made since are not in it — a pack emailed from a stale screen is the kind of error nobody notices until the figures are quoted back at you.
