Recording a Quality Inspection

Recording a Quality Inspection

The inspection is the check itself. It records who inspected what, on which date, how many units were looked at, how many failed, the readings taken against each characteristic, the defects found and the verdict. One document line can carry more than one inspection — a re-check after rework is a second inspection, not an edit of the first.

Checks and readings

If the item has an inspection plan, its characteristics are listed as rows to fill in. Each row carries its class — Critical, Major or Minor — and what it expects:

  • Measured characteristics ask for readings against a target with lower and upper limits. Take as many readings as the plan calls for; the screen tells you how many are outside the limits. These readings are what feeds the control charts and Cp/Cpk.
  • Attribute characteristics are a plain pass or fail.
  • A characteristic can name a gauge. If Refuse gauges past their calibration date is on, an overdue gauge will not be accepted — see Gauges.

You cannot save a Pass while checks are failing. The screen says how many did not pass and asks you to record the result as Fail or Hold instead. Under AQL it also tells you plainly whether the sample accepts or rejects the lot.

Defects

Below the checks, add a row per fault found: the defect from the catalog and how many were found. Every row needs both. These counts are what the Overview ranks and what the defect analysis on the reports is built from.

What saving does

OutcomeEffect
PassThe lot moves to Awaiting Decision. Under skip-lot, the accepted run for that supplier and item grows by one.
Fail or HoldThe lot moves to Awaiting Decision and a quality hold is prepared for the failed quantity. Under skip-lot, the next lots go to tightened inspection.
Either, with Raise an NCR onA non-conformance report is opened automatically when a lot is rejected or an inspection fails.

Editing and deleting

An inspection can be corrected while its lot is still undecided. Once a usage decision has been taken, or a hold or NCR has been raised from it, the record locks and the screen says why. Deleting needs delete permission on the kind of document inspected, and the same lock applies.
