Virtual Items

The Virtual Item List manages alias records for existing stock items. A virtual item lets you sell the same physical product under a different name or code — for a customer who wants their own part number, or for separate branding — while the stock stays with the parent item.

Where to find it

Go to Inventory > Virtual Item.

How a virtual item behaves

Selling a virtual item deducts stock from the parent item automatically. There is no separate stock balance to maintain, and no risk of the two drifting apart.

Add New Virtual Item

+ Add New creates an alias. During setup you link the virtual name and code to an existing parent item, and define any unit conversion where the alias is sold in a different unit from the parent.

Virtual Item Table

ColumnDescription
Virtual CodeThe alias code used on documents.
DescriptionThe alias name the customer sees.
Parent ItemThe physical item stock is drawn from.
Unit conversionThe ratio, where the alias is sold in a different unit.
Use a virtual item when one physical product needs a second identity. Use a kit when several products are sold together — aliasing and bundling solve different problems.
