AI Settings
AI Settings controls the AI assistant across the platform — which provider and model answer your customers, what the provider costs you, what you charge for credit, and the margin between the two. It is both a technical setup screen and a commercial one.
Where to find it
Go to Company > AI Settings.
Provider and model
| Field | Description |
|---|---|
| Active AI provider | Which provider answers requests. |
| Claude API key | The key for the Claude provider. Leave it blank to keep the existing key — an empty field never wipes what is stored. |
| Claude model | The model used, from fastest and cheapest to most capable. |
| OpenAI key / OpenAI model | Credentials and model if you run OpenAI instead. |
| Gemini key / Gemini model | Credentials and model if you run Gemini instead. |
Model choice is a direct cost decision. The cheapest model answers most day-to-day questions well; the most capable one costs materially more per conversation. Start low, and move up only if the answers are not good enough.
What you charge
| Field | Description |
|---|---|
| Credit margin (× raw cost) | The multiplier applied to the provider's cost to give your selling price. A margin of 2 means you charge twice what the call costs. |
| Free trial messages (per company) | How many messages each company gets before it needs credit. |
Balance and alerts
| Field | Description |
|---|---|
| AI provider prepaid credit (manual) | What you have loaded with the provider. Enter the figure after each top-up. |
| Low-credit alert threshold | The balance below which you are warned. |
| Alert admin email | Where that warning is sent. |
Update the prepaid figure every time you top up. The system resets its consumption baseline to the moment the number changes, so "remaining" counts spend since the top-up — leaving it stale makes the balance and the low-credit alert both wrong.
Our AI provider usage (cost)
What the provider has charged you: cost this month, cost all-time, total calls and tokens, prepaid credit loaded and the date it was loaded, consumed since then, and the balance remaining.
Customer credit (what you sell)
| Figure | Meaning |
|---|---|
| Outstanding balance | Credit your customers have bought and not yet spent — money you owe in service. |
| Sold / granted | Everything issued, paid or free. |
| Consumed / billed | What they have actually used. |
Credit is loaded per company from Company Subscriptions.
Margin
Revenue billed to customers set against what the provider charged you. This is the number that tells you whether your margin multiplier and free trial allowance are set at the right level.
