General Ledger Reports

General Ledger reports are the accounting output of the system — the balance sheet, the profit and loss statement, the trial balance and the transaction detail behind them. These are the reports your accountant asks for and the ones your statutory accounts are built from.

Where to find them

Go to Reports > General Ledger. Set the filters on the right, then click Print.

The statutory accounts

ReportWhat it shows
Balance SheetAssets, liabilities and equity at a date. Can be produced by branch, filtered by account tag, with decimal values and graphics optional.
Profit and Loss StatementIncome and expenditure across a period. Available as PDF or Excel.

Trial balances

Four variants of the same idea, differing in how much detail they carry.

ReportUse it when
Trial Balance SimpleYou want the shortest possible check that debits equal credits.
Trial Balance SummaryYou want account balances grouped rather than listed individually.
Trial BalanceThe standard report, with opening balance, period movement and closing balance per account.
Trial Balance DetailedYou need the transactions behind each account balance in the same document.
Run a trial balance before closing a period, not after. An out-of-balance ledger is far easier to trace while the entries are recent and the people who made them are still available to ask.

Transaction detail

ReportWhat it shows
GL Account TransactionsThe general ledger itself, filtered by date and account range.
GL Account Transactions Customers/SuppliersSeveral ledgers printed together, filtered by account range, customer or supplier category, branch and department.
Journal EntryA single journal as a PDF, for sharing or filing.
List of Journal EntriesEvery journal raised in the period.
Statement Of AccountsTotal cash flow for one person — employee, customer or supplier — within a date range.

Expense analysis

ReportWhat it shows
Expense BreakdownExpenditure by month across a date range you choose.
Annual Expense BreakdownThe same, across a full year, for spotting seasonality and creeping costs.

Reference and audit

ReportWhat it shows
Chart of AccountsYour account structure, with balances if you want them.
Audit TrailWhich transaction was created by which user — the report to reach for when a figure changed and nobody owns up.
