What Employees See in the Portal
The employee portal is the ERP's self-service face. Staff clock in, book leave, read payslips, claim expenses and see their tasks without anybody in HR being asked. It is the audience where a portal saves the most time, because the questions it answers are the ones HR gets over and over.
What they can see and do
| Area | What it does |
|---|---|
| Attendance | Clock in and out, see today, and ask for a correction to a wrong punch. |
| Leave | Apply for leave, see the balance by leave type, follow the approval. |
| Payroll | Payslips. |
| Claims | Expense claims, with the expense categories and receipts. |
| Advances / Loans | Requests and what is outstanding. |
| Tasks | Work assigned to them, with progress. |
| Assets | Company items issued to them. |
| Directory | Colleagues' contact details. |
| Approvals | What is waiting for them to approve, for managers. |
| Announcements | Notices published to employees or everyone. |
| Support | HR and IT tickets. |
Attendance corrections
A punch that went in wrong — a missed clock-out, a shift started on the wrong site — is corrected by the employee asking, and a manager approving. Corrections waiting for approval are counted on the Overview. The employee cannot simply rewrite their own attendance, which is what makes the record worth anything.
Signing in with the ERP password
An employee who already has an ERP user account can use that same password for the portal, so there is one password to remember and one to change. It is set per login on Portal Users and is on by default where it applies. Signing in to the portal creates no ERP session.
Project and site work
Where TenderPro is in use, the portal carries the site side of it: projects, job cards, work orders, material indents, progress updates and site reviews. A site manager reviewing an expense claim sees the claim's receipts and each line's expense code and description, because approving a claim without being able to see the receipt behind it is not a review.
Receipts on a claim are visible to the claim's owner and to the site manager of a review for that claim. Nobody else — including a site manager on a different project — can reach them.
Tasks
Tasks assigned in the ERP appear in the employee's portal with their codes, and progress recorded in the portal comes back to the ERP. It is the same work item seen from two ends, not a copy.
The employee portal is where notifications earn their place: a leave decision, a payslip or an approval request reaches the person's phone without them checking anything. See Portal notifications.
