Customer Contacts List
The Contact View provides a detailed profile of a specific individual associated with a customer account. While the Customer record handles the legal and financial side, this view focuses on the human element—ensuring you have the correct person to contact for orders, payments, or logistical coordination.
At the top of the screen, you can manage this contact using the primary action buttons: Edit to update their information; Add New to create a fresh contact profile; and Resend Welcome Email to provide the contact with their access details or a personalized welcome message.
Contact Information
This section captures the individual’s identity and their role within the parent organization:
- Contact Person: The full name of the individual (e.g., Lokesh). This name is used for personalized communication and internal reference.
- Customer: The name of the parent business entity or individual client this person represents.
- Phone Number: The primary direct line or mobile number used to reach this person for business matters.
- Secondary Phone Number: A backup contact number to ensure the person remains reachable if the primary line is unavailable.
- Fax Number: The dedicated fax line for the contact, recorded for traditional document exchange.
- E-mail: The professional email address used for sending automated notifications, digital invoices, and order updates.
- Language: The preferred language for communication with this individual, helping to maintain a personalized business relationship.
Administrative Actions
Maintain and manage the contact record with these high-level tools:
- Edit: Click this to modify the contact's name, update a phone number, or change their associated customer.
- Add New: Use this shortcut to clear the current view and open a blank form to add a new contact person to your database.
- Resend Welcome Email: Triggers an automated system email to the address listed in the E-mail field. This is particularly useful for welcoming new procurement officers or accounting staff to your system.
Note: Accurate email entries are vital here, as the system uses this field to route all person-specific correspondence and automated alerts.
