New Reorder Levels
A Reorder Level is the stock quantity at which an item should be reordered. Set it per item per location, and the system can tell you what to buy before you run out — which is the difference between planned procurement and an urgent phone call to a supplier.
Where to find it
Go to Items and Inventory > New > Reorder Levels. The form opens as a popup.
Setting a level
- Select the Item.
- Enter the Reorder Level — the quantity at which replenishment should start.
- Click Update to save.
Field reference
| Field | Description |
|---|---|
| Item | The stock item the level applies to. Services have no reorder level. |
| Location | Levels are defined per location, so a busy branch can carry a higher threshold than a quiet one. |
| Reorder Level | The quantity that triggers replenishment. |
Setting a sensible level
The level needs to cover what you will sell while waiting for the supplier. Roughly: average usage per day, multiplied by the supplier's lead time in days, plus a buffer for demand that spikes.
A level set to zero is not a level — it means you find out you are out of stock at the moment a customer asks. Set it above zero for anything you genuinely resell.
What levels drive
- Requisition — Requisition in Purchase calculates demand by comparing stock on hand and quantity on order against these levels.
- Email alerts — where enabled, notification when stock falls below the threshold.
- Stock balance reporting — items under their level are identifiable at a glance.
