Email Templates and Contents
Email templates in your ERP system allow you to create predefined email messages that can be used across various modules such as Leads, Projects, Customers, and more. These templates are designed to automate communication and ensure consistency in the messages sent to users, staff, or clients.
Creating and Managing Email Templates
Navigate to Email Templates:
- Go to Setup > Company > Email Templates.
- You will see a list of existing email templates categorized by their purpose (e.g., Leads, Projects, Customers).
Select a Type:
- Choose the type of template you want to create or edit from the dropdown menu. The types include:
- Leads
- Projects
- Customers
- Suppliers
- Tasks
- Opportunities
- Sales Invoice
- Reports Auto Email
- Sales Order
- Sales Delivery
- Customer Credit Note
- Bank Payment
- Bank Deposit
- Customer Payment
- Supplier Payment
- Purchase Order
- Proposals
- Sales Quotation
- Staff
- Subscription
- Company
- Tickets
- Choose the type of template you want to create or edit from the dropdown menu. The types include:
Creating a New Email Template:
- Click on the Add New button to create a new template.
- Name: Enter the name of the template. This name is used internally for identification.
- Subject Variables: Use predefined variables (e.g.,
{Company name}
,{Lead name}
) to dynamically insert relevant information into the subject line. - Subject: Define the subject line of the email. You can include variables for dynamic content.
- Slug: Enter a slug for the template, which is a unique identifier used in the system.
- Description Variables: Select from a range of variables (e.g.,
{Lead assigned to name}
,{Company name}
) to include in the body of the email. These variables automatically populate with relevant data when the email is sent. - Template: Use the rich text editor to design the body of the email. You can format text, insert images, links, and use variables to personalize the content.
Editing an Existing Template:
- Select a template from the list to edit.
- Modify the name, subject, slug, or template content as needed.
- Save changes to update the template.
Variables in Email Templates:
- Variables are placeholders that get replaced with actual data when the email is generated. For example:
{Company name}
inserts the company name.{Lead name}
inserts the name of the lead.{Lead Email}
inserts the lead's email address.

- Once created, these templates can be used in automated emails, notifications, and other communication within the ERP system. The templates ensure that the communication is consistent and personalized.
