Delete and Void a Transaction

Delete and Void a Transaction

Financial records are not deleted. Where a transaction has hit the ledger it is voided — reversed and marked cancelled, with the document and its number left in place. This page lists everything that has been voided or deleted.

Where to find it

Go to Setup > Users & Void. Voiding and deleting are done from each transaction's own listing page; this screen is the record of what has been reversed.

Delete or void

ActionApplies toEffect
DeleteDocuments that never reached the ledger — a sales or purchase order with nothing delivered or received against it.The record is removed.
VoidAnything that has posted — deliveries, invoices, payments, credit notes.Ledger entries and stock movements are reversed; the reference remains, marked void.

Once a document has been acted on — an order delivered, a delivery invoiced — deletion is blocked and void is the only route.

A voided entry cannot be restored. If it was voided in error the transaction has to be entered again, so check before confirming.

Why the reference survives

Voiding keeps the number in sequence. A gap in document numbering is exactly what an auditor asks about, so the system retains the reference and marks it cancelled rather than removing it.
