What Suppliers See in the Portal
A supplier signing in to the portal sees what you have ordered from them, what you have received, what they have invoiced and where their account stands. It removes most of the phone calls that start "has that been paid yet", and where RFQ is switched on it is also how they quote for new work.
What they can see
| Area | What it shows |
|---|---|
| Dashboard | Open orders, what is outstanding, recent activity. |
| Purchase orders | What you have ordered and its state. |
| RFQs | Requests to quote, where RFQ is enabled. |
| Goods received | What you have booked in against their deliveries. |
| Dispatches | Shipments on their way to you. |
| Invoices / Debit notes | Their billing and your debits. |
| Ledger / Statement | Their account with you, as a PDF too. |
| Documents | Uploading certificates and registrations for review. |
| Support | Raising and following tickets. |
| Announcements | Notices published to suppliers or everyone. |
Voided documents
Documents you have voided are not shown to suppliers. A voided invoice or order is one that, as far as your books are concerned, does not exist, and showing it to a supplier only produces a query about a number that will never be paid.
Quoting
Where RFQ is enabled, suppliers see your open requests and quote against the lines. A supplier without a login can still quote through a share link. See RFQs for how the request runs from your side.
Goods received
What a supplier sees under goods received is what you have actually booked in — the receipt, not the order. Where a delivery was short or rejected, that is the number they will see, and the difference between what they invoiced and what you received becomes visible to both sides at the same time. That is usually a good thing, and it is worth knowing before you switch the portal on.
Their account
The ledger and statement are their real account with you, including what is overdue. Some businesses find that uncomfortable at first. In practice a supplier who can see their own statement raises fewer queries, not more, and the ones they do raise are about real discrepancies.
Support
Tickets arrive in the Helpdesk under the Suppliers filter. Replies notify them and appear in their thread; internal notes never do.
