Fixed Assets Location

The Fixed Asset Locations setup allows you to define the physical sites, offices, or warehouses where your company’s assets are held. Establishing these locations is essential for tracking the movement of assets and performing accurate site-based audits.
You can access this page by navigating to Fixed Asset Module > Settings > Locations.
Location Details (New Form)
When creating a new location, the following information is required to ensure proper tracking and communication:
  • Location Code: A unique short-form identifier (e.g., "NY-OFF" or "WH-01") used by the system to reference this specific site in the database.
  • Location Name: The full descriptive name of the site (e.g., "New York Head Office" or "Main Distribution Center").
  • Contact Person: The name of the primary individual responsible for the assets at this location.
  • Address: The physical street address of the site. This information is often pulled into shipping documents and sales invoices.
  • Telephone / Fax / Email: Contact details for the location to facilitate communication regarding maintenance or physical verification.
Location List (Management View)
The main table displays all currently active locations within the system:
  • Code & Name: Displays the primary identification for each site.
  • Contact & Address: Provides a quick overview of where the location is and who to contact.
  • Status: Shows whether a location is "Active" or "Inactive." If a location is marked as inactive, it will no longer appear in the dropdown menus of transaction forms.
  • Edit/Delete Actions: Use these icons to update existing location details or remove a site that has no historical transactions linked to it.
Usage Across Transaction Forms
The locations defined in this list are globally integrated. You will see these options appear in:
  • Purchase Invoices: To specify where a newly bought asset is being delivered.
  • Asset Transfers: To define the "From" and "To" points when moving equipment.
  • Disposals: To identify the site from which an asset is being removed or scrapped.
  • Sales Invoices: To confirm which location the asset is being shipped from to the customer.
Action Buttons
  • Add New: Opens the blank form to register a new physical site.
  • Update: Saves changes made to an existing location record.
  • Cancel: Discards any unsaved changes and returns to the summary list.
