Advance Salary Inquiry

Advance Salary Inquiry tracks short-term advances against future pay. An advance is interest-free and comes out of salary the employee is already earning — taken in January, it is normally recovered in February. Advances are employee payments marked as advances, so they are listed with the rest of the payment history.

Where to find it

Advances are shown in Employee Payments Inquiry — the same list that holds salary payments and reimbursements. Filter it by employee and date range to isolate advances.

What the list shows

View GL

Opens the ledger entries the advance created — the payment out of the bank, and the amount owed by the employee that payroll recovers against.

View Advance Salary Details

Opens the full payment record: employee, amount, account used and how much has been recovered so far.

Delete Advance Salary Details

Voids the payment. Only available while nothing has been recovered against it — once payroll has taken a deduction, the record is part of the pay history and reversing it would change a processed payslip.

Watch the outstanding column for staff who are leaving. An unrecovered advance has to be settled on the final payslip, and after that there is no salary left to deduct it from.
