Purchase Transactions
The Transactions Tab provides a detailed financial history of all dealings with the supplier. It serves as a ledger to track invoices, bank payments, and credit notes, allowing the accounts team to monitor outstanding liabilities and payment schedules in real-time.
The top section features a Search Bar and dynamic filters including Type (e.g., Invoices or Payments), Date range, Project, and Branch. Use the Search button to generate a specific financial report based on these criteria.
Aging Summary (Payables)
This overview table provides a snapshot of your debt maturity, helping to manage cash flow and prioritize payments:
- Terms: Displays the payment terms assigned to the supplier.
- Current: Total amount currently due that has not yet entered the aging cycle.
- 1-30 Days: Outstanding amounts that are past due by up to one month.
- 31-60 Days: Debt that has remained unpaid for over a month.
- Over 60 Days: Long-term outstanding balances that may require urgent attention.
- Total Balance: The cumulative sum of all outstanding payables for this supplier.
Transaction List Columns
Each financial entry is listed with detailed attributes for audit and reconciliation:
- Type: The category of the transaction, such as Supplier Invoice or Bank Payment.
- Reference: The internal system-generated unique ID for the transaction.
- Supplier's Reference: The external invoice or reference number provided by the vendor.
- Date: The official posting date of the transaction.
- Due Date: The deadline by which the payment should be settled according to agreed terms.
- Amount: The total gross value of the specific transaction.
- Balance: The remaining unpaid portion of a specific invoice.
- Status: A color-coded indicator showing the current state, such as Paid (Green), Posted (Green), or Overdue (Red).
- More: A dropdown menu providing additional actions like viewing the journal entry or printing the document.
Administrative Actions
Navigate through the financial history using these tools:
- Search: Refreshes the list based on the filters applied in the top header.
- Pagination: Located at the bottom right (First, Prev, Next, Last), allowing you to browse through multiple pages of transaction records.
