Purchase Transactions

The Transactions tab is the financial history for one supplier — bills, payments and debit notes in one ledger, with an ageing summary showing how much of what you owe is overdue and by how long.

Where to find it

Open a supplier and select the Transactions tab.

Filters

Search plus filters for Type (invoices or payments), Date range, Project and Branch. Click Search to generate the report.

Aging Summary (Payables)

The ageing bands show how long your liabilities have been outstanding — current, and then progressively older periods. It is the same view your supplier has of you.

Ageing is the figure to watch before negotiating terms. A supplier looking at a long overdue balance is not in a mood to extend credit, and the position here is what they will raise.

Transaction List Columns

ColumnDescription
TypePurchase invoice, supplier payment, debit note or expense.
ReferenceThe document reference. Click through to the transaction.
Supplier's ReferenceTheir own invoice number — what you quote when querying.
Date / Due DateWhen it was raised and when payment falls due.
AmountThe document total.
BalanceWhat remains outstanding on it.
StatusYet to pay, partially paid, paid or overdue.

Administrative Actions

Documents can be opened, printed or actioned directly from the list — paying a bill or raising a debit note without navigating to the Purchases module first.
