ZATCA Sales e-Invoices

ZATCA Sales e-Invoices

Sales e-Invoices lists every invoice and credit note with its ZATCA status, and is where you deal with anything that has not gone through. In normal running it should be quiet — invoices clear or report as they are raised and the list is a record. It earns its place on the days when something fails.

The list

ColumnMeaning
Reference / DateThe document.
TypeTax Invoice or Credit Note.
Customer / VAT NoWho it is to. The VAT number decides standard versus simplified.
AmountThe invoice total.
ZATCA StatusWhere it has got to.
ActionWhat can be done with it now.

Filter by status, by type and by date range.

The statuses

StatusMeans
PendingNot yet sent to ZATCA.
SubmittedSent, awaiting an answer.
ClearedAccepted as a standard (B2B) invoice. It may now be given to the customer.
ReportedAccepted as a simplified (B2C) invoice.
FailedZATCA did not accept it. The reason is on the record.
VoidedThe underlying document was voided.

The actions

ActionWhat it does
Generate InvoiceBuilds the e-invoice document from the transaction.
Submit InvoiceSends it to ZATCA for clearance or reporting.
Check StatusAsks ZATCA where a submitted invoice has got to.
DetailsThe full record, including what ZATCA returned.
Void InvoiceMarks the e-invoice as voided where the document has been.

Standard and simplified

Which route an invoice takes follows the customer, not a setting you pick per document:

CustomerRouteTiming
Has a VAT number (B2B)StandardCleared before the invoice is given to the customer.
No VAT number (B2C)SimplifiedReported after issue, with a QR code on the invoice.

That is why customer VAT numbers must be right. A missing VAT number on a business customer sends a B2B invoice down the B2C route, and the invoice you hand over will not have been cleared.

Automatic or manual

Whether invoices go to ZATCA on creation or when somebody presses a button is set in Settings. Automatic is the normal choice for standard invoices, because clearance has to happen before the customer gets the document anyway.

Failures

A failed invoice keeps ZATCA's own response, so the reason is on the record rather than something to reconstruct. Fix what it complains about and submit again. See Troubleshooting.
