Contact Categories

Contact Categories

Contact Categories classify the people in your CRM — by role, by interest, by relationship. They are how a list of contacts becomes segmentable, so a campaign or a follow-up can target the right subset rather than everybody.

Where to find it

Go to CRM > Settings > Contact Categories.

Adding a category

FieldRequiredDescription
Category NameYesThe label applied to contacts.
DescriptionNoWhat the category means, so it is applied consistently by everyone.
StatusNoWhether the category is active and selectable.

What categories are for

ExampleSegments by
Decision makerAuthority — who can actually sign.
Technical contactRole — who to ask about requirements.
AccountsFunction — who handles invoices and payment.
NewsletterInterest — who has opted into marketing.
Categories only work if everyone applies them the same way. Write the description properly — a category meaning different things to different people segments nothing.

Managing categories

Edit renames a category; the inactive toggle retires one no longer used while leaving existing contacts intact. Keep the set small — a category list nobody can hold in their head goes unused.
