Movements

The Asset Movements List provides a detailed audit trail and ledger-style view of every transaction associated with a specific asset. This screen allows you to monitor the flow of assets, ensuring accurate record-keeping and assisting in inventory audits by tracking "Quantity In," "Quantity Out," and the resulting "Quantity on Hand" across different locations and dates. To access this list, navigate to Fixed Assets > Click the "Movements" Tab.
 
Filters Section
Use these filters to perform deep-dive forensics on asset history or to reconcile physical stock with system records.
  • Item: Select the specific asset from the dropdown (e.g., 1013 - Dell Tall tower Servers) to view its unique history.
  • Show inactive: Toggle this to include history for assets that have been disposed of or deactivated.
  • Location: Select a specific warehouse or office branch from the dropdown to filter movements based on physical location.
  • Date Range: Specify the start and end dates (e.g., 07/04/2023 - 07/04/2026) using the calendar icon to see transactions within a specific period.
  • Batch No & Item Color: If applicable, filter by specific manufacturing batch numbers or product variations.
  • Filter Type & Expiry Date: Find items based on their shelf-life or expiration timeline (e.g., items expiring "Less than" a specific date).
  • Audit Trail Order: A toggle switch to sort the movements chronologically to follow the exact sequence of historical events.
  • Search Button: After setting your filters, click the green Search button to generate the movement report based on your selected criteria.
 
Movements Table
This table functions as a financial ledger, showing the "flow" of assets in and out of your records.
  • Type: The nature of the movement, typically categorized as a Journal Entry or opening/closing balances.
  • Reference: Provides a unique reference or source document ID for the specific asset movement event.
  • Standard Cost: Displays the recorded standard cost of the asset at the time of the movement.
  • Date: The exact date the movement was recorded in the system.
  • Detail: Additional notes or descriptions providing context for why the movement occurred.
  • Batch No: Displays the batch number associated with the asset movement, if applicable.
  • Exp Date: The recorded expiry date for the specific batch.
  • Quantity In: Indicates the number of units moved into the selected location.
  • Quantity Out: Indicates the number of units moved out of or removed from the location.
  • Quantity On Hand: Displays the running total of the asset currently on hand after considering all "In" and "Out" movements.
 
Movement Summaries
The system automatically generates summary rows to help reconcile balances over the selected period:
  • Quantity on hand before [Date]: Shows the starting balance and asset value at the beginning of your selected date range.
  • Quantity on hand after [Date]: Shows the final closing balance and total quantity remaining after all movements in the period are processed.
