Quotations List
Sales Quotation is a Pre-Sales order, which will be given to customer while making a new transaction. And it can be converted to Sales order or it can be directly converted as Sales Invoice. A List of transactions will be given here. Both converted and non converted sales entries will be made with it. There is an option to remove the sales quote, which are not converted as either sales order or invoice. When a transaction is connected, we shouldn't allow it to change or delete it.
The Quotation List interface allows users to search and filter quotations based on various criteria. The following fields and options are available:
- Reference: Enter the reference number associated with a specific quotation to search for it directly.
- Date: Select a date range to filter quotations based on their creation or validity dates.
- Location: Choose a specific location to narrow down quotations relevant to that location.
- Item: Select an item from the dropdown list to filter quotations containing that particular item.
- Salesman: Filter the quotations by selecting a specific salesman responsible for the quotations.
- Customer: Choose a customer to display only the quotations associated with that particular customer.
- Status: Filter quotations based on their current status, such as overdue, open, or ordered.
After setting the desired filters, click the Search button to display the list of quotations that match the selected criteria.
Quotation List Table
- Quote #: Displays the unique identifier for each quotation.
- Customer: Shows the name of the customer associated with the quotation.
- Branch: Indicates the branch from which the quotation was issued.
- Cust Order Ref: Displays the customer order reference, if applicable.
- Quote Date: The date when the quotation was created.
- Valid until: The expiration date of the quotation.
- Delivery To: Specifies the delivery address or recipient.
- Quote Total: Shows the total amount of the quotation.
- Status: Displays the current status of the quotation.
- Share Sales Quotation : The "Share" feature allows users to easily share a specific sales quotation with others through different channels. When you select this option, the following details and actions are available:
Reference: Displays the reference number associated with the sales quotation (e.g., 005/2024).
- Sharing Options:
- Copy Link: Click this option to copy a direct link to the sales quotation. You can then paste this link into any platform or document to share the quotation with others.
- View Transaction: Select this option to view the full details of the sales quotation. This allows you to review the transaction before sharing or taking further action.
- Mail: Use this option to send the sales quotation directly via email. This is a convenient way to share the quotation with customers or colleagues.
- WhatsApp: Click this option to share the sales quotation through WhatsApp. This enables you to quickly send the quotation to contacts via the popular messaging app.
- More Menu Options : The "More" menu provides additional actions that can be performed on a selected sales quotation. The following options are available:
- Edit: Select this option to modify the details of the sales quotation. This allows you to make changes before finalizing or sharing the document.
- Sales Order: Click this option to convert the sales quotation into a sales order. This is useful when the customer approves the quotation and you want to proceed with the order process.
- Invoice: Use this option to generate an invoice directly from the sales quotation. This streamlines the process of billing the customer based on the agreed-upon terms in the quotation.
- Mail: Choose this option to send the sales quotation via email. This is a quick way to share the quotation with customers or internal stakeholders.
- Print: Click this option to print a hard copy of the sales quotation. This is ideal for record-keeping or providing a physical copy to the customer.
- Void: Select this option to void the sales quotation. This action is typically used if the quotation is no longer valid or was created in error, ensuring it won't be processed further.
If no records match the search criteria, a message stating "No records" will be displayed.
