Quotations List

The Quotation List shows all quotations created in the system. From here, you can filter, review, share, edit, print, or manage quotation transactions easily.


Filters Section

Filters help you quickly find specific quotations:

  • Reference: Enter the quotation reference number to search for a particular quotation.
  • Date Range: Filter quotations between specific From and To dates.
  • Location: Filter based on the delivery location selected in the quotation.
  • Item: Filter based on specific items added to the quotation.
  • Salesman: View quotations created by a particular salesman.
  • Branch: Users can filter the quotation list by branch. This branch filter will be displayed only if the branch system is enabled in setup via Setup -> Preference -> Use Branches Only.
  • Customer: Select any customer from the dropdown list to filter their quotations. In our system, users can select the "All Customers" option to see all customer details.
  • Status: Filter quotations based on the quotation status.
  • Department: Users can filter the quotation list by department. This department filter will be displayed only if the department system is enabled in setup via Setup -> Preference -> Use Branches and Department.


New Quotation
Next to the filter system is the + New Quotation button. Once a user clicks it, the direct quotation entry page will open.

Quotation Table
This table contains data based on the applied filters:

  • Quote #: The quotation reference number. Clicking it opens the detailed View page of that quotation.
  • Customer: Shows the customer's name. Clicking the name opens the customer's detail view page.
  • Branch: The branch under which the quotation was created.
  • Cust Order Ref: The customer's reference number entered during quotation creation.
  • Quote Date: The quotation creation date.
  • Valid until: The expiration or validity date defined in the quotation.
  • Delivery To: The delivery address or customer location for the quotation.
  • Quote Total: The total amount of the quotation.


Quotation Status

  • Open: A normal quotation created that is still active and pending conversion.
  • Ordered: The quotation has been fully converted into a sales order.
  • Partially Ordered: Only a portion of the items in the quotation has been converted into a sales order.
  • Expired: The quotation has passed its "Valid until" date and is no longer active.
  • Free Sales: The quotation was created with a zero total value.
  • Draft: The quotation is saved but not yet finalized.


Share Link Option

Clicking the Share Link icon (located next to the status button) opens a pop-up window where you can:

  • Share via Email
  • Share via WhatsApp
  • Copy Quotation link


More Options (Action Menu)
Each quotation has a More dropdown menu with the following actions:

  • Edit: Modify quotation details.
  • Sales Order: Convert the quotation into a Sales Order.
  • Invoice: Generate a Sales Invoice directly from the quotation.
  • Mail: Send the quotation by email.
  • Print: Print the quotation for records or sharing.
  • Void: Cancel the quotation if it is no longer valid or needed.
