Purchase Invoices List (Transactions)

The Supplier Invoices List page allows you to manage and track all invoices issued by suppliers within the system. This page is vital for maintaining an overview of outstanding payments, managing overdue invoices, and processing various actions related to each supplier invoice.

Key Features:

  1. Search and Filter:

    • Reference: You can search for specific invoices using the reference number provided.
    • Supplier: Filter invoices by selecting a specific supplier from the dropdown menu.
    • Date Range: Filter invoices based on their creation or due date by selecting a date range.
    • Branch: You can also filter invoices by the branch to which the goods or services were supplied.
    • Overdue Checkbox: Use this option to quickly filter and view only the invoices that are overdue for payment.
  2. Invoice List Display:

    • Type: Indicates the type of document, in this case, "Supplier Invoice."
    • Reference: The unique reference number for each supplier invoice. Clicking on the reference number allows you to view the detailed information of the invoice.
    • Supplier: The name of the supplier who issued the invoice.
    • Supplier’s Reference: The reference number provided by the supplier, which is useful for cross-verifying with the supplier's documents.
    • Date: The date when the invoice was created.
    • Due Date: The date by which the invoice payment is due.
    • Amount: The total amount invoiced.
    • Balance: The remaining balance that is yet to be paid on the invoice.
    • Status: The current status of the invoice. It can be "Overdue" if the payment is past the due date.
  3. Actions Available (More Menu):

    • GL: View and manage the general ledger entries associated with this invoice.
    • Edit: Edit the details of the invoice if any corrections are needed.
    • Credit This: Issue a credit note against the invoice if there is a need to reverse or adjust the billing.
    • Payment: Initiate the payment process for the invoice.
    • Print: Print a copy of the invoice for record-keeping or for sending to the supplier.
    • Void: Cancel the invoice if it was issued in error or if the transaction is no longer valid.
    • PDC (Post-Dated Cheque): Manage or view post-dated cheques related to the invoice.
    • Landed Cost: Allocate landed costs associated with the invoice to different items if applicable.
  4. Status Indicators:

    • Overdue: This status is highlighted in red to indicate invoices that are past their due date and require immediate attention.

Managing Invoices:

  • Payment Allocation: Payments can be allocated to the invoices directly from this screen, allowing you to keep track of which invoices have been paid and which remain outstanding.
  • Credit Notes: If adjustments are needed, credit notes can be issued against invoices directly from this page, helping to maintain accurate financial records.
