Invoices
The Sales Invoice List shows every invoice raised in TamilAccounting, including both normal sales invoices and journal-entry based invoices from the General Ledger. Use it to filter, review, chase payment, credit an invoice, or share it with the customer.
Where to find it
Go to Sales > Invoices.
Filters Section
| Filter | What it does |
|---|---|
| Reference | Search by invoice reference number. |
| Customer | Filter to one customer, or choose All Customers for everything. |
| Date Range | Show invoices between a From and To date. |
| Salesman | Show invoices raised by a particular salesperson. |
| Status | Filter by invoice status — see the table below. |
| Branch | Filter by branch. Only visible when Setup > Preferences > Use Branches Only is enabled. |
| Department | Filter by department. Only visible when Setup > Preferences > Use Branches and Department is enabled. |
New Direct Invoice
Next to the filters is the New Sales Invoice button, which opens the Direct Invoice entry form.
New Customer Invoice
Beside it is New Customer Invoice, which opens the batch form. Use this when you need to raise one invoice covering several outstanding deliveries — see Batch Invoice for Delivery Notes.
Invoice Table
This table contains data based on the filters you applied.
| Column | Description |
|---|---|
| Type | The transaction type: Sales Invoice, or Journal Entry created from the General Ledger. |
| Reference | The invoice reference. Click it to open the Sales Invoice View. |
| Order Reference / Project | For a sales invoice, the originating sales order; for a project invoice, the connected project. |
| Customer Reference | The customer reference entered when the invoice was created. |
| Date | The invoice creation date. |
| Due Date | The payment due date defined on the invoice. |
| Customer | The customer name. Click it to open the customer detail page. |
| Branch | The branch the invoice was created under. |
| Salesman | The salesperson responsible for the invoice. |
| Total Amount | The total invoice value including taxes. |
| Balance | The remaining unpaid amount. |
Invoice Status
| Status | Meaning |
|---|---|
| Unpaid | No payment received. |
| Partially Paid | Some payment received; a balance is still pending. |
| Paid | Fully paid. |
| OverDue | Payment is incomplete past the due date. |
| Pre Paid | Payment was taken before the invoice was raised. |
| Partially Credited | Part of the invoice has been returned via a credit note. |
| Credited | The invoice has been fully returned. |
| Free Sales | Created with zero value. |
| Void | The invoice has been voided. |
| Draft | Saved but not finalised. |
OverDue is the status to watch. Combined with the Customer filter it gives you a per-customer chase list, and it is the same debt that drives a blocking Customer Credit Status.
Share Link Option
Clicking Share Link opens a pop-up where you can share via Email, share via WhatsApp, or copy the invoice link. This lets salespeople send invoices to customers quickly and follow up on payment.
More Options (Action Menu)
| Action | What it does |
|---|---|
| Edit | Modify invoice details, subject to country rules and permissions. |
| Delete / Void | Cancel the invoice. Appropriate when there is a major mistake. |
| Credit This | Raise a credit note against the invoice. See Invoice to Credit Note. |
| Print the invoice. | |
| Send the invoice by email. | |
| GL | View the General Ledger entries connected with this invoice. |
In several countries a finalised tax invoice may not be edited or deleted, only credited. If Edit is unavailable, that is your country's tax rules being enforced, not a permission problem.
