Invoices
The Sales Invoice List shows all invoices created in the system. It includes both normal sales invoices and journal entry-based invoices. From here, you can filter, review, share, edit, print, or manage invoice transactions easily.
Filters Section
Filters help you quickly find specific invoices.
- Reference: Enter the invoice reference number to search for a particular invoice.
- Customer: Select any customer from the drop down list to filter their invoices. In Our system user can select all customer option to get all customer's details.
- Date Range: Filter invoices between specific From and To dates.
- Salesman: View invoices created by a particular salesman.
- Status: Filter invoices based on invoice's status.
- Branch: User can filter the invoice list by branch. This branch filter will be display only enable batch system on setup. Setup -> Preference -> Use Branches Only.
- Department: User can filter the invoice list by department. This department filter will be display only enable department system on setup. Setup -> Preference -> Use Branches and Department.
New Direct Invoice
Next to the filter system have New Sales Invoice Button. Once user clicks it, the direct sales invoice will be open.
New Customer Invoice
Next to the New Sales Invoice button, system have New Customer Invoice. Once user clicks it, the direct sales invoice will be open.
Use this from user can create invoice with multiple deliveries.
Invoice Table
This Table contains data based on filters. - Type: Shows the type of transaction: Sales Invoice or Journal Entry (created from General Ledger).
- Reference: Invoice reference number. The Invoice Reference is clickable—clicking it opens the detailed View page of that invoice.
- Order Reference / Project: Shows Sales Order reference (if available) or connected Project (if linked).
- Customer Reference: Customer reference number entered during invoice creation.
- Date: Invoice creation date.
- Due Date: Payment due date defined in the invoice.
- Customer: Have the customer's name. Clicking the name opens the customer's detail view page.
- Branch: Branch under which the invoice was created.
- Salesman: Salesman responsible for the invoice.
- Total Amount: Total invoice amount including taxes.
- Balance: Remaining unpaid amount.
Invoice Status
- Unpaid: No payment received.
- Paid: Fully paid.
- Partially Paid: Some payment received, balance still pending.
- Credited: The Invoice fully returned.
- Partially Credited: The Invoice returned Partially.
- Void: Invoice is voided.
- Free Sales: Invoice created with zero value.
- OverDue: The payment isn't complete more than due date.
- Pre Paid: The payment done before the invoice.
- Draft: The Invoice which is saved and not finalized.
Share Link Option
Clicking Share Link opens a pop-up window where you can:
- Share via Email
- Share via WhatsApp
- Copy invoice link
More Options (Action Menu)
Each invoice has a More dropdown menu with the following actions:
- Edit: Modify invoice details (allowed based on country rules and permissions).
- Delete / Void: Cancel the invoice (recommended if major mistake exists).
- Credit This: Create a credit note for the invoice.
- Print: Print the invoice.
- Mail: Send invoice by email.
- Void: Cancel the invoice.
- GL: View the General Ledger entries connected with this invoice.
