Vehicles
Vehicles is the fleet register. Each record carries what the vehicle is, what it can carry, how much fuel it should use and when its insurance runs out — the reference every job, fuel entry and maintenance record points back to.
Where to find it
Go to EcoFleet > Settings > Vehicles.
Field reference
| Field | Description |
|---|---|
| Plate Number | The registration. How the vehicle is identified everywhere else. |
| Type | The category, from Vehicle Types. |
| Make / Model / Year | What it is. |
| Capacity | What it can carry. This is what limits loads per job. |
| Fuel Type | What it runs on. |
| Status | Whether it is available for scheduling. |
| Current Odometer | The latest reading, updated from fuel logs. |
| Consumption Rate | Expected fuel use, for comparing against actual. |
| Fuel Balance | Fuel issued but not yet accounted for. |
| Insurance Expiry | When cover lapses. |
| Stock ID | Links the vehicle to its item or asset record in the ERP. |
Insurance expiry is the field to build a routine around. An uninsured vehicle on a collection round is not an accounting problem — it is one incident away from being an existential one.
Vehicle licences
Vehicles also carry licence records with their own types and expiry dates, tracked alongside insurance so the whole compliance picture for a vehicle sits in one place.
