Maintenance Jobs
A maintenance job is one piece of work on one asset. It records what is wrong or what is planned, who it is with, when it is wanted, what it was estimated to cost and what it actually cost in parts, labour and contractor charges. Everything else in MaintenPro hangs off the job.
Raising a job
New → Maintenance Job, or from a preventive schedule with Raise Job Now. The job gets its own reference from the ERP's reference system, like any other document.
The fields
| Field | Notes |
|---|---|
| Asset | Required. The stock item the work is on. Also carries the serial number, the location and the dimension if you use them. |
| Description | Required. The fault, or the work wanted. |
| Job Type | Preventive, Corrective, Emergency or Inspection. |
| Priority | Low, Medium, High or Critical. |
| Maintenance Type | Internal Team or External Contractor — who is doing it. |
| Assigned to | An employee for internal work, a contractor for external. |
| Requested On / Scheduled Date | When it was asked for and when it is planned. |
| Estimated Hours / Cost Estimate | Neither may be negative. |
| Downtime | How long the asset was out of service. Cannot be negative. |
| Notes | Anything else. |
The job types
| Type | Means |
|---|---|
| Preventive | Planned work done before anything fails. Schedules raise jobs of this type. |
| Corrective | Something is wrong and is being fixed. |
| Emergency | Something has stopped and cannot wait. |
| Inspection | A look, not a repair — a check that may or may not lead to work. |
Keeping these honest is what makes the cost reports worth reading. The ratio of preventive to emergency work on an asset is usually a better argument for replacing it than the repair bill alone.
The job view
Opening a job shows its detail, its costs and, as tabs or sections beneath, everything recorded against it:
- Service logs — what was done, by whom, for how many hours.
- Parts — what was issued from stock.
- Contractor bills — what was charged.
- The workflow log — every status change, who made it and when.
The workflow actions live on the view as their own buttons, not on the form. The form edits the job's own fields; the buttons move it through its life. See The job workflow.
When a job locks
A job that has been completed, closed or cancelled can no longer be edited — the form says so plainly. Reopen it first if it genuinely needs changing. The same applies to what hangs off it: parts cannot be issued and bills cannot be added or changed while the job is in a state that does not allow work.
The register
The Maintenance Jobs tab lists jobs for a period with filters on status and asset. Maintenance Inquiry permission is enough to read it; changing anything needs the permission for the action concerned.
