Salary Update

Salary Update

Salary Update sets gross pay and grade for many employees on one page. Instead of opening each employee record for an annual revision, you list the people concerned, type the new gross or pick a grade, see every allowance worked out before committing, and save the rows you have checked. It is the screen an annual increment round is done on.

Where to find it

Go to HRM > New + > Salary Update.

Choosing who to list

FilterWhat it does
DepartmentOne department, or all.
GradeOne grade, all grades, or employees Without a grade.
EmployeeOne employee, or all.
Only employees without a salaryThe people who have never been set up. Useful after a bulk import.

Only active employees are listed. When nothing matches, the page says No employees match the selected filters rather than showing an empty grid.

The columns

ColumnMeaning
Empl ID / Employee NameWho the row is for.
Gross PayThe monthly gross. Type the new figure here.
GradeThe grade. Follows the gross, or pick one by hand.
AllowancesEvery allowance of the grade, worked out.
Total Earnings / Total Deductions / Total BenefitsThe components added up.
Overall CTCWhat the employee costs in total.
StatusNeeds Calculate, Calculated, No change, or a warning.

How the grade follows the gross

Type a new gross and the grade moves to the band that covers it — the band tested against the annual figure, gross times twelve, the same way Calculate works on the employee form. A grade you pick by hand is kept and not overridden.

WarningMeans
Above grade bandThe gross is higher than the selected grade's band allows.
Below grade bandThe gross is lower than the band.
Grade not matching the salaryThe two disagree. Usually a hand-picked grade that has since been outgrown.
This grade has no allowances set upNothing will be calculated. Set the grade's allowances up first.

Working through it

  1. Filter to the people you are revising.
  2. Type the new gross, or pick a grade, on each row you want to change. Tick every employee in the list selects them all.
  3. Press Calculate to work out the allowances of the ticked rows.
  4. Read the changes. Changed figures are highlighted, and the page summarises how many rows were calculated, the gross before and after, and how many grade changes there are.
  5. Press Update Salary to save the ticked rows.

Allowance cells follow the grade selected in the row. Allowances set to be typed in — profile input allowances — are shown as input fields straight away rather than waiting for a calculation.

The safety rules

RuleWhy
A row edited after its last Calculate is refusedOtherwise you would be saving figures you never saw.
Every row is worked out again on the server before savingWhat is saved is what the rules produce, not what the browser held.
All rows save in one transactionEither the whole update goes through or none of it does.
Rows with no change save nothingThe page says the ticked rows had no change rather than writing identical values.

What saving writes

  • The employee's salary row, with the new gross and the calculated allowances.
  • The grade.
  • A line in the increment history, so the revision is on the record.

Leave entitlement days are left alone. A pay revision is not a change to leave, and moving both at once is how leave balances quietly go wrong.

Employees already paid this month

A row for an employee whose payslip for the month is already processed is marked This month paid. Changing their salary does not retrospectively alter that payslip — the new figures apply from the next payroll run.

Permission

Updating salaries is guarded. Without the permission the page refuses the save and says so; the listing itself can still be read, which is often all a manager needs.
