Sales Quotation View
The Sales Quotation View is the full record of a quotation after it has been created. It shows the header details, customer information, line items and totals, and it is where you convert an accepted quote into a Sales Order or an Invoice.
Where to find it
Open any quotation reference from the Quotations List.
Header
| Field | Description |
|---|---|
| Reference | The unique reference for the quotation, for example 007/2026. |
| Date | The date the quotation was placed. |
| Valid until | The expiry date of the offer. |
| Sales Man | The salesperson assigned to the quotation. |
| Sales Area | The region associated with the quotation. |
| Created By | The user who created it. |
| Created On | The exact date and time of creation. |
Document Details
| Field | Description |
|---|---|
| Customer Currency | The currency set on the customer record. |
| Payment Terms | The terms offered, for example Cash Only. |
| Sales Type | The price list applied, for example Retail. |
| Delivery from | The location the goods would be supplied from. |
| Branch | The branch processing the quotation. Shown only when branches are enabled in Setup. |
| Department | The internal division responsible. Shown only when departments are enabled in Setup. |
Customer Details
The customer name, contact information and registered address as held on the customer and branch records.
Delivery Details
The delivery address, shipping company and any comments recorded on the quotation — what the delivery would look like if the offer is accepted.
Line Details

| Item Description | The item quoted. |
| Quantity | The quantity quoted. |
| Unit | The unit of measure. |
| Price | The price per unit. |
| Discount | Any discount applied to the line. |
| Total | The line total after price, discount and tax. |
| Quantity Ordered | How much of that line has already been converted into a sales order. |
Quantity Ordered is how you spot a partly converted quote. If it is less than Quantity, part of the offer is still open and can be ordered separately.
Actions

| Edit | Update quantities, prices, dates, customer details or items. |
| Sales Order | Convert the quotation into a Sales Order. See Quotation to Sales Order. |
| Sales Invoice | Generate a Sales Invoice directly from the quotation. |
| Print the quotation. | |
| Share Link | Generate a secure shareable link to the quotation. |
| Void | Cancel a quotation that is no longer valid or needed. |
Notes
- The Super Admin can hide Edit and Void from other users through permissions.
- This screen changes with the add-ons you have installed. With the Approval add-on enabled, for example, an extra tab appears showing the approval detail for the Super Admin.
