Bank Feed Import
Bank Feed reads a bank statement export and turns the deposits in it into contributions. Instead of keying a few hundred receipts a month from a statement, you upload the file the bank gives you and the ERP matches each deposit to a member by the identity number in its reference.
Where to find it
Go to Setup > Import / Export > Bank Feed.
What it does
| Step | What happens |
|---|---|
| 1. Upload the statement | The bank is detected automatically from the column headers. |
| 2. Each credit is matched | By the identity number found in the reference or description. |
| 3. Matched rows post | A contribution is recorded into the bank account you choose. |
| 4. The rest is reported | Debits and unmatched rows are listed and skipped. |
Which banks
FNB and ABSA statement exports are recognised. The bank is worked out from the headings in the file, so you do not have to tell it which one you are uploading.
Matching
A deposit is matched to a member by the identity number appearing in its reference or description. That is what members are told to use when they pay, and it is the only thing in a bank statement that reliably identifies a person.
| Row | Result |
|---|---|
| A credit with a recognised identity number | A contribution is posted. |
| A credit with no match | Reported and skipped. Deal with it by hand. |
| A debit | Reported and skipped. It is not a contribution. |
Re-uploading
Uploading the same statement again does not double up. Rows are de-duplicated on the bank's own transaction reference, so an overlapping period — which is the normal case when downloading month by month — is safe.
Check the unmatched list every time. Those are members who have paid and whose contribution is not recorded, and they are exactly the people who will be marked in arrears despite having paid.
Posting
Contributions posted this way go through the same route as one entered by hand, into the bank account you select. They appear on the member's record, on their contribution statement and in the society's accounts identically.
