New Location Transfers
The Fixed Assets Location Transfer form records the movement of physical assets from one location to another. This ensures your asset register always reflects the correct physical site, which is essential for audits, maintenance scheduling, and insurance purposes.
You can access this page by navigating to Fixed Asset Module > New Button > Transfer.
Transfer Header
This section establishes the "From" and "To" parameters for the movement:
- From Location: Select the warehouse or site where the asset is currently situated. The system will filter available assets based on this selection.
- To Location: Select the destination warehouse or office where the asset is being moved. Note: The system validates that the "From" and "To" locations are not the same.
- Reference: The internal tracking number for the transfer document. This is often auto-generated to maintain a sequential audit trail.
- Date of Transfer: The actual date the physical movement occurs. This updates the asset's location history in the database.
Asset Selection
Since this is an asset transfer, the selection logic is strictly controlled:
- Fixed Asset Item: Search for the specific asset to be moved. In "Asset Mode," the system focuses on individual asset tracking.
- Quantity: For fixed assets, the quantity is automatically locked to 1. Unlike standard inventory, fixed assets are unique entities; therefore, the form auto-fills and hides the quantity field to ensure one-to-one tracking.
- Units: A read-only field showing the unit of measure (e.g., Each) assigned to the asset.
- Batch No / Serial No: If the asset is tracked by a specific manufacturer serial number or batch, it must be selected here to ensure the exact piece of equipment is transferred.
Operational Controls & Others
- Standard Cost: This displays the current book value of the asset. While it is usually hidden for standard users, authorized users can see this to understand the financial value being moved.
- Product Image / Attachment: An integrated dropzone allows you to upload photos of the asset's condition before or after the transfer, or digital copies of the gate pass/delivery challan.
- Custom Fields: Any specialized data required for transfers—such as "Vehicle Number Used for Transport" or "Technician Name"—will appear here if configured in the system.
Action Buttons
- Add Item: Adds the selected asset to the transfer list. You can move multiple assets in a single transfer document by repeating the selection process.
- Process Transfer: Finalizes the record. This action updates the physical location of the asset in the Asset Master and creates the necessary stock move entries in the database.
- Update / Cancel: Used to modify a line item before processing or to clear the form entirely.
