A Location Transfer records moving a physical asset from one site to another. Keeping the register aligned with where equipment actually is matters for audits, maintenance scheduling and insurance — an asset recorded at a site it left two years ago is a problem waiting for a stocktake.
Where to find it
Go to Fixed Assets > New > Transfer.
Transfer Header
| Field | Description |
| From Location | Where the asset is now. The available assets are filtered by this choice. |
| To Location | The destination. The system rejects a transfer where From and To are the same. |
| Reference | The transfer document's tracking number, usually auto-generated to keep the audit trail sequential. |
| Date of Transfer | When the physical move happens. This updates the asset's location history. |
Asset Selection
| Field | Description |
| Fixed Asset Item | The asset being moved. In asset mode the system tracks individual items. |
| Quantity | Locked to 1. Fixed assets are unique, so the field is auto-filled and hidden to keep tracking one-to-one. |
| Units | Read-only — the asset's unit of measure. |
| Batch No / Serial No | Where the asset is tracked by serial or batch, this identifies the exact piece of equipment being moved. |
Operational Controls & Others
| Control | Description |
| Standard Cost | The asset's current book value. Normally hidden, visible to authorised users so they know the value being moved. |
| Product Image / Attachment | A dropzone for condition photographs before or after the move, or the gate pass and delivery challan. |
| Custom Fields | Transfer-specific data such as vehicle number or technician name, where configured. |
Photograph the asset before it goes on a truck. Damage discovered at the far end is impossible to argue about later without a record of the condition it left in.
Action Buttons

| Add Item | Adds the asset to the transfer. Repeat to move several assets on one document. |
| Process Transfer | Finalises it — updates the asset master and creates the stock move entries. |
| Update / Cancel | Amend a line before processing, or clear the form. |
What it does to your books
A transfer moves an asset between locations. It does not change its value, so there is no gain or loss and no effect on depreciation — only the location history in Movements changes.
