New Proposal

A proposal is a written document sent to a prospective client with the intent of securing a specific job or project. It functions similarly to a sales order or quotation, but can be generated for both customers and leads. When creating a proposal, you begin by selecting whether the recipient is a customer or a lead, and then proceed to add items and their corresponding prices. Note that the prices included in a proposal are flexible and may be higher or lower than the actual price.

Steps to Create a New Proposal:

  1. Navigating to the Proposal Creation:

    • Go to CRM > New > Proposal in the TamilAccounting ERP.
    • A "New Proposal" popup will appear on the screen.
  2. Filling Out the Proposal Form:

    • Proposal To:

      • Start by selecting whether the proposal is for a Customer or a Lead.
    • Leads/Customers:

      • If you select Lead, a list of available leads will be displayed. Choose the appropriate lead for the proposal.
      • If you select Customer, you will need to choose both the customer and the specific branch associated with the proposal.
    • Reference:

      • Enter a unique reference code for the proposal. This helps in tracking and managing the proposal within the system.
    • Payment:

      • Select the preferred payment method from the dropdown menu (e.g., Cash Only).
    • Price List:

      • Choose the applicable price list for the proposal. If necessary, you can click the '+' icon to add a new price list.
    • Proposal Date:

      • Set the date on which the proposal is being made. This is important for tracking the proposal timeline.
    • Deliver from Location:

      • Choose the location from which the goods or services will be delivered if the proposal is accepted.
    • Barcode:

      • If applicable, enter a barcode associated with the proposal for easy identification and tracking.
    • Email to Customer:

      • Check this box if you wish to send the proposal details directly to the customer via email.
    • Add Field:

      • Customize the proposal form by adding additional fields as needed using the 'Add Field' button.
    • Current Credit:

      • This display shows the credit status of the lead or customer, indicating their financial interactions with your business. This can help in deciding whether to extend credit terms.
    • Leads Access:

      • If a proposal is made to a lead, they can also access the proposal. Once accepted by the customer or lead, the proposal can be converted into an order, and the usual business processes can proceed.
  3. Adding Sales Proposal Items:

    • In the "Sales Proposal Items" section, you will need to enter details for each item included in the proposal:

    • Item Description:

      • Provide a brief description of the item being proposed.
    • Quantity:

      • Specify the quantity of the item.
    • Price After Tax:

      • Enter the price of the item, including applicable taxes.
    • Discount Percentage:

      • If applicable, include any discount percentage that should be applied to the item.
    • Total:

      • This field will automatically calculate the total price after applying any discounts.
    • Add Item:

      • Click the "Add Item" button to include the item in the proposal.
  4. Filling Out Proposal Delivery Details:

    • In the "Proposal Delivery Details" section, input the necessary delivery information:

    • Delivery From Location:

      • Specify the starting point of the shipment.
    • Valid Until Date:

      • Enter the date until which the proposal remains valid. This ensures that the terms of the proposal are honored only within a specific timeframe.
    • Delivery To:

      • Specify the destination of the delivery.
    • Address:

      • Enter the complete address for the delivery location.
    • Contact Phone Number:

      • Provide a phone number for contact purposes, ensuring that communication regarding the delivery can be handled smoothly.
    • Customer Reference:

      • Enter any reference provided by the customer that is relevant to the proposal.
    • Comments:

      • Add any additional notes or comments about the delivery. This could include special instructions or important details.
    • Shipping Company:

      • Provide details of the company handling the shipment to ensure that logistics are coordinated effectively.
  5. Finalizing the Proposal:

    • Place Proposal:
      • After filling out all necessary details, click the "Place Proposal" button to submit the proposal.
    • Cancel Proposal:
      • If you decide not to proceed with the proposal, click the "Cancel Proposal" button to discard it.

Important Notes:

  • Proposal Flexibility:
    • Prices listed in the proposal are not final and can be adjusted based on negotiation with the client. They may be higher or lower than the actual price depending on the situation.
  • Conversion to Order:
    • Once the proposal is accepted by the customer or lead, it can be converted into a sales order. This is the next step in the business process, moving from proposal to fulfillment.

By following these steps, you can efficiently create and manage proposals within the TamilAccounting ERP, ensuring that your business can respond to client requests with professionalism and accuracy.
