Categories List

The Categories List is a management dashboard used to organize your inventory into logical groups. Defining categories allows for automated accounting, as each category is linked to specific General Ledger (GL) accounts for sales, inventory, and costs. This ensures that every transaction involving an item in a specific category is recorded correctly in your financial statements. To access this list, navigate to Inventory > Click the "Categories" Tab.
 
Filters Section
Use these filters to refine the list of categories displayed in the table.
  • Parent Category: Filter by "All Categories" or select a specific parent to view its sub-categories.
  • Select Tax Type: View categories assigned to a specific tax rate (e.g., GST 18%, GST 5%).
  • Item Type: Filter the list based on the type of items within those categories (e.g., Purchased, Service, Manufactured).
  • Search: A text box to quickly find a specific category by typing its name.
  • Show also Inactive: Located at the bottom left, check this box to include categories that are no longer in active use.
 
Add New Category
The + Add New button allows you to create a new category. When adding a category, you will define the default tax types, units of measure, and the associated GL accounts for seamless accounting integration.
 
Category Table
This table displays the configuration and accounting links for each category.
  • Name: The name of the category. Clicking the blue link opens the category details.
  • Tax Type: The default tax percentage applied to items within this category.
  • Units: The standard unit of measurement (e.g., E for Each, Cum for Cubic Meter).
  • Type: Defines the nature of items in this group (e.g., Purchased, Service, or Manufactured).
  • Sales Account: The GL account code where revenue from sales is recorded (e.g., 4010).
  • Parent: Displays the parent category if the current entry is a sub-category.
  • Inventory Account: The GL account code for tracking the value of stock on hand (e.g., 1510).
  • COGS Account: The Cost of Goods Sold account used when items are sold (e.g., 5010).
  • Adjustment Account: The account used to record inventory value changes during manual adjustments (e.g., 5040).
  • Assembly Account: The account associated with manufactured or kitted items (e.g., 1530).
 
Action Buttons & Bulk Management
Manage your categories using the following controls:
  • Edit (Pencil Icon): Update the category name, tax settings, or change the linked GL accounts.
  • Delete (Trash Icon): Remove a category from the system (only possible if no items are currently assigned to it).
  • Selection Checkboxes: Select one or multiple categories by clicking the boxes on the far left.
  • Delete All: A red button at the bottom left used to remove all selected categories simultaneously.
