HRM Settings

HRM (Human Resource Management) settings in an TamilAccountiing system allow you to manage and configure various HR-related functions. This includes setting up employee records, defining job roles, managing payroll, tracking attendance, and handling benefits and performance evaluations. Efficient HRM settings ensure streamlined HR processes and accurate employee data management.

To create HRM Settings, go to  HRM  > Settings > HRM Settings  (or)  Setup > HRM > HRM Settings

General Settings

  • Weekend/Weekly Off: Select your company's weekly off days (e.g., Sunday, Saturday-Sunday).

  • Employee ID Method: Choose how employee IDs are generated (e.g., sequential, department-based). Auto Employee ID, usually the Employee comes with a company prefix names and than auto numeric will be added at the end. And each company will follow their own way of Employee. which we can set from Transaction reference. That be used to get it like that while creating a new employee. 

  • Reimbursement Default Due Days: Set how many days after submission reimbursements should be paid (e.g., 10 days).

  • Maximum Allowed Limit Percentage: Define a cap for certain payroll calculations (e.g., 80% of salary for loans).

Working Hours

  • Begin Time: Standard office start time (e.g., 8:00 AM).

  • End Time: Standard office end time (e.g., 6:00 PM).

Payroll Settings

  • Payroll Date: The day salary is processed (e.g., 25th of every month).

  • Payroll Duration: Select the payroll period (e.g., "Previous + Current Month").

  • Month of Begin Day / Month of End Day: Define payroll cycle start and end days (e.g., 1st to 30th).

  • Calculate Payroll: Choose calculation method (e.g., "Actual Working Days" for exact attendance-based pay).

  • Auto Allocate Employee Payments with Reimbursements: If "Yes," reimbursements are automatically added to payroll.

Overtime (OT) Settings

  • Allow Weekly Off OT: If enabled, employees can log OT on weekly off days.

  • Allow Half Day OT: If enabled, half-day OT calculations are allowed.

  • OT Multiplication Factor: Regular OT pay rate (e.g., 1.5x normal salary).

  • Special OT Multiplication Factor: Higher OT rate for special cases (e.g., 2x salary).

  • Holiday OT Factor: Extra pay rate for working on holidays (e.g., 2.5x salary).

  • Max OT Time: Maximum daily OT hours allowed (e.g., 4 hours).

  • Max Special OT Time: Maximum special OT hours allowed (e.g., 2 hours).

  • Period Settings: OT calculation period (e.g., "Previous + Current Month").

Employee Contract & Policy

  • Notice Period: Standard notice period before resignation (e.g., 30 days).

  • Probationary Period: Default probation duration for new hires (e.g., 3 months).

  • Contact Period (Month/Year): Standard employment contract length (e.g., 1 year).

Add-on Modules (Enable/Disable)

  • Tax Functionality: Turn on tax deductions in payroll.

  • Employee License Manager: Track professional licenses/expiries.

  • Leave Travel/Passage: Manage travel allowances.

  • Medical Premium: Handle health insurance deductions.

  • Indemnity (EOSB): Enable End-of-Service Benefits calculation.

  • Visa & Immigration: Track work permits and visas.

  • Candidates: Enable recruitment module.

  • Occasional Employee Salary: Payroll for temporary/contract workers.

  • Branch: Support for multi-branch payroll.

  • Process Payroll without Attendance: Allow payroll even if attendance is missing.

  • Reimbursement Payout on Payroll: Include reimbursements in salary.

  • Allow Utilized Leaves: Track used leave days.

How to Save Changes

  • Click Submit to apply all settings.

Tips for Users

✔ Double-check OT rates before saving.
✔ If payroll seems incorrect, verify working hours and calculation method.
✔ Notify employees before changing notice periods or working hours.
