Credit Notes List

Overview:

The Sales Credit Notes / Sales Returns List screen is designed to provide users with an easy-to-navigate interface for managing and reviewing sales credit notes or sales returns. This screen enables users to filter, search, and perform various actions on sales credit notes, including viewing details, generating reports, and more.

Key Sections:

  1. Filter Panel:

    • Reference: Enter a specific reference number to filter the list of credit notes.
    • Customer: Use the dropdown to select a specific customer or view credit notes for all customers.
    • Branch: Select a branch to filter credit notes specific to a particular branch.
    • Salesman: Choose a specific salesman or view credit notes associated with all salesmen.
    • Zero Values: Check this box to include or exclude credit notes with zero balances.
    • Date Range: Select a specific date range to filter the credit notes based on their creation date.
    • Search Button: Click to apply the filters and refresh the list based on the selected criteria.
  2. Sales Credit Notes List:

    • Type: Indicates the type of document, such as "Customer Credit Note."
    • # (Number): Displays the credit note number. Clicking on this link allows users to view detailed information about the credit note.
    • Invoice: Shows the associated invoice number for the credit note.
    • Date: The date when the credit note was issued.
    • Customer: The name of the customer associated with the credit note. Clicking the customer's name directs you to more detailed customer information.
    • Branch: The branch where the credit note was issued.
    • Amount: The total amount credited in the note.
    • Balance: The remaining balance after allocation.
    • Status: Indicates whether the credit note is "Allocated" or pending allocation.
  3. Action Menu:

    • More: Click the "More" button next to any credit note to reveal additional actions:
      • GL: View the General Ledger entries associated with the credit note.
      • Mail: Send the credit note via email.
      • Print: Print the credit note document.
      • Void: Void the credit note if necessary.

How to Use:

  1. Filtering Credit Notes:

    • Use the filter panel at the top of the screen to narrow down the list of credit notes by reference, customer, branch, salesman, or date range.
    • Click the "Search" button to apply the filters and view the results.
  2. Viewing Credit Note Details:

    • Click on the credit note number in the "#" column to open a detailed view of the credit note, including the associated transactions and allocations.
  3. Performing Actions on Credit Notes:

    • Use the "More" button in the Action Menu to perform various tasks such as viewing GL entries, emailing, printing, or voiding the credit note.

Tips:

  • Efficient Searching: Use the date range filter to quickly find credit notes within a specific period.
  • Customer Insights: Click on the customer's name to view their account details, including all associated credit notes and sales returns.
  • Quick Actions: The Action Menu provides easy access to frequently used functions, enabling efficient management of credit notes directly from the list view.
