Setup Wizard

The Setup Wizard configures a new company in TamilAccounting. It walks through company details, the chart of accounts, bank accounts and the default ledger accounts every transaction relies on, then hands over to opening data. Work through it in order.

Where to find it

The wizard opens automatically for a newly created company. To return to it later, go to Setup > Setup Wizard. You need the SA_SETUPCOMPANY permission.

Step 1 — Company Setup

Get Home Currency and Financial Year Start Date right first time. Both are foundations that every later transaction is measured against, and neither is comfortable to change once you have posted data.

Step 2 — Chart Of Accounts

The chart of accounts is the account structure your books sit on. Three routes are offered.

Copy COA From Parent CompanyWhere you run several companies and want identical structures for consolidated reporting.
Excel Import FileBring your existing structure across. Download the Chart of accounts Excel Format sample, map your accounts into it, and upload.

When importing, COA with auto ID lets the system allocate account codes for you. Turn it off to keep the account numbers your accountant already uses — usually the better choice if you are migrating.

The wizard will refuse to change the chart of accounts once transactions exist, and warns you if it finds any. Settle this step before you post anything.

Step 3 — Bank Accounts

At least one cash or bank account is required before you can move on.

Bank Account Number, Bank AddressNoAccount identification for remittances and reconciliation.

An account cannot be deleted once transactions exist against it, or once it is assigned to a POS terminal.

Step 4 — System & GL Setup

This step tells each module which ledger account to post to. It is the least visible step and the one that causes the most trouble when skipped, because every posting downstream depends on it.

Prompt Payment Discount AccountSettlement discounts for early payment.
Deferred Income AccountPrepaid sales value, before revenue is recognised.
Shipping Charged AccountFreight recovered from customers.

Suppliers and Purchasing

Purchase Discount AccountDiscounts received from suppliers.
GRN Clearing AccountThe provisional liability for goods received but not yet invoiced. See Goods Receipt Note.

Items Defaults

C.O.G.S. AccountCost of goods sold as stock leaves.
Inventory Adjustments AccountWrite-offs, shrinkage and stock corrections.
WIP AccountWork in progress during manufacturing.
Sales AccountDefault revenue account for item sales.

Payroll Defaults

Salary AccountPayroll cost.
Salary PayableNet pay owed to staff.
Reimbursement ClaimableExpenses staff have claimed.
Loan Payable / Advance SalaryStaff loans and salary advances.
Interest CalculationInterest on staff loans.

Each payroll account has a No postings on… option, which suppresses ledger entries for that element where you handle it outside the system.

Fixed Assets Defaults

AccountUsed for
Loss On Asset Disposal AccountThe difference when an asset is sold or scrapped for other than book value.
If you are unsure of an account here, ask your accountant rather than guessing. A wrong default does not error — it posts quietly to the wrong place, and you find out at year end.

Step 5 — Pack Setup

Shown only for reseller and auditor companies. At least one subscription pack must exist before you can continue, since packs define what client companies can be sold.

Step 6 — Opening Data

The wizard hands over to the import framework here — master data first, then the balances you are carrying across. Both have their own guides:

Step 7 — Complete

Confirms setup is finished. You can reopen the wizard at any time from Setup > Setup Wizard, though steps that transactions now depend on will be locked.
