What the AI Assistant Can Do
The AI assistant in the ERP is not only a question-answerer. It can search your data, open the right screen for you, draft documents, create tasks and file bugs to the development team — through a set of fifty tools it calls on your behalf. This page explains what it can actually do, and the boundary it will not cross.
The rule it works by
The assistant never submits a document for you. Where you ask it to create something, it opens the correct screen filled in as far as it can, and you check and submit it. That boundary is the point: a mistake made by a person filling in a form is an ordinary mistake, and a document posted by software nobody read is not.
What it can look up
| Area | It can |
|---|---|
| Masters | Search customers, suppliers, items and GL accounts. |
| Statements | Fetch a customer or supplier statement, and export one to Excel. |
| Transactions | Find transactions, open one, and list the transaction types. |
| Data views | List the data views available and run one. |
| Documentation | Search this documentation to answer a how-do-I question. |
| Settings | Look up an ERP setting, and change one where permitted. |
| Subscription | Report what your subscription covers. |
| GSTIN | Look up a GST registration, where India GST applies. |
What it can create
| Thing | How |
|---|---|
| Customers and suppliers | Created directly. |
| Leads, opportunities and activities | Created, found, updated and deleted. |
| Tasks and timesheets | Created, found, updated and deleted. |
| Sales and purchase documents | Prepared — the screen opens filled in for you to submit. |
| Journal entries | Prepared the same way. |
| Recurring entries | Found and managed. |
| Report templates | Listed, read and saved as drafts. |
Opening the right screen
For anything it cannot do directly — a goods receipt, a payment, a delivery, an HR entry, a feature of an installed app — the assistant looks up the actions you have permission to start and offers a button that opens the right screen.
That is why it rarely answers "I can't". If there is no permitted action it will tell you either that you do not have access and should ask your administrator, or that the feature genuinely does not exist yet.
The action list is filtered by your own permissions before the assistant sees it. It cannot open a screen you are not allowed to use, and it cannot tell you about one either.
When something looks wrong
Report a figure that looks wrong and the assistant checks the data before concluding anything. For an allocation or status mismatch it inspects the allocation; for a balance it reads the statement. It then tells you what it found.
| Outcome | What happens |
|---|---|
| The data is consistent and was misread | It explains what the figures actually mean. |
| There is a genuine technical fault | It files a development ticket with the reference and the exact mismatch. |
Getting to a person
| Route | Use for |
|---|---|
| Development ticket | A confirmed bug, or a feature request. It goes to the developers' queue, and they reply in the same chat. |
| Escalate to a human | Billing, account questions, or when you simply want to talk to somebody. |
A reply from a developer or an agent arrives in the same conversation, so nothing moves to email and nothing is lost.
Sending documents
The assistant can send a document to a customer or supplier once it exists. It does not create and send in one step — the document is raised and checked first.
