Owner Dashboard and AI Insights: Your Whole Business on One Screen

Most owners can tell you their sales for the month. Fewer can say, on the same morning, how much cash they have across every account, how much customers owe and how old those debts are, what is falling due to suppliers next week, whether this month's margin is better or worse than last month's, and whether the money will last through the quarter. The answers exist in the books, but they are spread over a dozen screens and reports, and most of them are only looked at when something has already gone wrong.

The Owner view puts all of it on one screen. It is a second tab on the home dashboard that shows the whole business for the period you choose, compared with the period before or with the same period last year. Next to it sits AI Insights: every night the system checks your books for the things an owner should know about, such as sales falling, an expense running far above usual, a customer past their credit limit or a supplier bill entered twice, and it puts each one on a card. If you want, the AI assistant also writes you a short briefing in plain words, with three things worth doing this week.

This guide explains every figure on the screen, how it is worked out, who can see what, and how to set up the briefing and the owner digest email. The examples use a sample trading company and invented round figures, so you can follow each calculation to the rupee.

Where to find it

Open the Dashboard. Under the welcome banner there are now two tabs: Business overview, which is the dashboard you already know, and Owner view. Click Owner view. The figures are worked out the moment you open the tab, so the rest of the dashboard loads as fast as before. The system remembers the tab you used last, so if you are an owner it opens straight on the Owner view next time.

The owner digest email has an Open the owner dashboard button that lands directly on this tab. The page also works in a phone browser: the tiles fall into two columns and the sections stack one under another.

Who sees what

The tab appears for anyone whose role may see the profit, the bank reports or the sales reports. Inside it, each section is shown only to roles allowed to see that part of the business:

Branch users. A user who is assigned to one branch (and whose company does not allow other branches' resources) sees that branch's figures only, with a note at the top saying so. The insight cards and the briefing cover the whole company, so branch users do not get them. The AI assistant follows the same rule: a branch user asking about overdue customers only hears about their own branch.

Choosing the period and the comparison

Two drop-downs at the top set what you are looking at:

  • Period: Today, This week, This month, Last month, This quarter, Financial year to date, Last financial year.
  • Comparison: vs previous period or vs same period last year.

The previous period is always the same stretch of days, so a half-finished month is never compared with a whole one. For short periods the comparison starts on the previous period; for the quarter and the year it starts on last year. You can switch either way. Here is what each choice covers, taking a financial year that runs from April to March and today as 15 October:

PeriodCoversPrevious periodSame period last year
Today15 Oct14 Oct15 Oct last year
This weekMon 12 Oct – Thu 15 OctMon 5 Oct – Thu 8 Oct12–15 Oct last year
This month1–15 Oct1–15 Sep1–15 Oct last year
Last month1–30 Sep1–31 AugSeptember last year
This quarter1–15 Oct (third quarter)1–15 Jul1–15 Oct last year
Financial year to date1 Apr – 15 Oct1 Apr – 15 Oct last year
Last financial year1 Apr – 31 Marthe year before that

Every figure with a comparison shows the change as a percentage with an arrow. The colour tells you whether the change is good news: green when sales or profit go up, red when they fall, and the other way round for costs. Hover over a figure to see the exact amount; the tiles round large numbers to lakhs and crores so they stay readable.

Figures are kept for ten minutes, so moving between tabs is instant. Press ↻ to recalculate straight away, for example after posting an entry.

All in your home currency

A company that sells or banks in more than one currency gets every total in its home currency. Each invoice counts at its own exchange rate, and each bank account at the value it carries in the ledger. A sale of USD 2,000 invoiced at a rate of 83.20 counts as ₹1,66,400 in Sales. A US dollar account holding USD 4,210 is listed with its dollar balance and its home value of ₹3,52,900, and only the home value goes into the cash total.

The six headline figures

The row of tiles is the summary. Our sample company, looking at This month against the previous period:

TileShowsSampleUnderneath
Cash and bankEvery bank and cash account today₹28,45,000Net flow this period +₹3,18,400
SalesInvoices less credit notes, tax included₹22,16,500▼ 11.0% · 132 invoices
Net profitRevenue less cost of sales and expenses₹3,88,900▼ 15.8% · 20.7% of revenue
Customers owe youEverything still unpaid by customers₹19,12,000₹4,12,300 overdue
You owe suppliersEverything still unpaid to suppliers₹7,84,500₹96,400 due in 7 days
Stock valueStock on hand, valued as the Inventory Valuation report values it₹31,65,0007 items below reorder level

Why Sales and Revenue differ. The Sales tile counts invoices as the customer sees them, tax included. The Profit section counts revenue as the books record it, tax excluded, and it includes any other income posted to income accounts. In the sample, ₹22,16,500 of sales with 18% GST included is ₹18,78,390 of revenue.

Needs attention

A short list of what is waiting for you, most urgent first, each line opening the screen where you can deal with it:

  • Customer invoices overdue, with the amount
  • Supplier bills due in the next 7 days, and supplier bills already overdue
  • Items at or below their reorder level
  • Leave requests waiting for approval
  • Cash running short within 90 days on the dues already booked
  • Bank lines older than 30 days that are not reconciled
  • Documents waiting for approval, when the Approval app is installed

Other installed apps can add their own lines here, and their own tiles under From your apps.

Profit

The Profit section shows revenue, cost of sales, expenses and gross margin, a chart of the last twelve months, and Where the money went: the largest expense accounts for the period, each with its change.

1–15 Oct1–15 SepChange
Revenue₹18,78,390₹21,09,600▼ 11.0%
Cost of sales₹11,64,600₹12,86,900▼ 9.5%

Expenses₹3,24,890₹3,60,600▼ 9.9%
Net profit₹3,88,900₹4,62,100▼ 15.8%

Where the money went, for the same two periods:

Expense account1–15 Oct1–15 SepChange
Salaries & wages₹1,49,400₹1,46,500▲ 2.0%
Courier & freight₹82,400₹39,300▲ 109.7%

Power & fuel₹22,700₹24,100▼ 5.8%
Other expenses₹25,390₹1,05,700▼ 76.0%
Total expenses₹3,24,890₹3,60,600▼ 9.9%

Read together: sales fell by about a tenth, cost of sales fell slightly less, so the margin slipped a point, and courier costs doubled. That is the kind of story the Owner view is built to tell in one look.

Sales

Invoiced amount, credit notes and the average invoice, each against the comparison period; a twelve-month line of sales against the same months last year; the top five customers; and the top five items with their gross margin.

The margin on an item is what it sold for, net of discount and tax, less what it cost to sell, at the cost recorded on the invoice line. An item that sold 40 units at ₹1,250 each with a 10% discount brings in ₹45,000; at a cost of ₹820 a unit it cost ₹32,800 to sell, so its margin is ₹12,200, or 27.1%.

Cash

Money in and money out of the bank and cash accounts for the period, the balance of every account, and Cash lasts: how many months the cash would last if the last three full months repeated. Transfers between your own accounts are left out, because they are the same money moving twice.

Last three full monthsNet cash movement
July−₹2,10,000
August−₹3,05,000
September−₹4,45,000
Average a month−₹3,20,000

With ₹28,45,000 in the bank, ₹28,45,000 ÷ ₹3,20,000 = 8.9 months. When more comes in than goes out over those three months, the tile says so instead of showing a figure.

Cash forecast: the next 90 days

The forecast starts from today's cash and adds what customers owe by the date it falls due, less what you owe suppliers by due date and the usual monthly payroll (the average net pay of the last three processed months). Supplier bills already overdue fall in the first 30 days, because you owe them now. Customer invoices overdue by up to 90 days are expected in the first 30 days too; older ones are not counted on and are listed separately, because money that late may not come at all. Installed apps can add expected flows, such as post-dated cheques.

WindowComing inSupplier billsPayrollNetCash at the end
Today₹28,45,000
Next 30 days₹16,40,000₹13,00,000₹6,20,000−₹2,80,000₹25,65,000
31–60 days₹7,80,000₹7,70,000₹6,20,000−₹6,10,000₹19,55,000
61–90 days₹4,10,000₹18,87,000₹6,20,000−₹20,97,000−₹1,42,000

In this example a large import bill falls due in the third window and takes the cash below zero. Not counted: ₹1,08,000 of customer invoices more than 90 days overdue. Because the forecast goes negative, Needs attention and the insight cards both say cash may run short, weeks before it does.

Money owed to you

What customers owe, split by age: current, 1–30 days, 31–60 days and over 60 days past due. The bands follow your company's past-due setting, so if that is 45 days the bands are 1–45 and 46–90. The figures tie back to the Aged Customer Analysis report. Invoices paid in instalments age each unpaid instalment by its own due date.

AgeAmount
Current (not yet due)₹14,99,700
1–30 days overdue₹2,26,800
31–60 days overdue₹1,15,400
Over 60 days overdue₹70,100
Customers owe you₹19,12,000
of which overdue₹4,12,300

Beside it: what was collected in the period, the five largest overdue customers with how many days overdue, and Days to get paid, the balance expressed in days of sales. Sales over the last 90 days of ₹45,30,000 are ₹50,333 a day, so ₹19,12,000 ÷ ₹50,333 = 38 days.

Money you owe

The same view for suppliers: the balance by age, what falls due in the next 30 days, what you paid in the period, and the five largest supplier balances. In the sample, ₹7,84,500 is owed, ₹96,400 of it due in the next 7 days.

Stock and people

Stock shows the number of items in stock, how many are at or below their reorder level and how many are out of stock, and the value of stock that has had nothing go out for 90 days. In the sample, ₹5,70,000 of the ₹31,65,000 in stock (18%) has not moved in three months: cash sitting on a shelf.

People shows the number of employees, gross payroll for the period with its change, payroll as a share of revenue, leave waiting for approval, and six months of net pay. Gross payroll of ₹7,42,000 against revenue of ₹18,78,390 is 39.5% of revenue.

All my companies

If you run more than one company, the Owner view lists each of them with its cash, sales and net profit this month, and what customers and suppliers owe, from each company's nightly snapshot and in its own currency. It covers the companies your own login belongs to as an administrator.

AI Insights: what the system notices on its own

Every night, after the hour your company chooses, the system checks these rules for the whole company and puts what it finds on cards at the top of the Owner view. No AI is involved in the checks themselves, so they cost nothing. A user with company setup does not have to wait for the night: Check now, beside Nothing unusual noticed, or Run the checks now under Digest & AI runs them at once.

Two cards, worked through

Sales are down 34% this week. The last seven days brought ₹3,10,000. The four weeks before brought ₹18,80,000, an average week of ₹4,70,000. ₹3,10,000 is 66% of that, below the 70% line, so the card is raised.

Courier & freight is 110% higher than usual. From 1 to 15 October the account took ₹82,400. The same fifteen days of July, August and September took ₹38,000, ₹41,200 and ₹38,700, an average of ₹39,300. ₹82,400 is 2.1 times that, above 1.5 times, and the extra ₹43,100 is more than 1% of an average month's revenue (₹38,00,000 × 1% = ₹38,000).

How cards behave

  • Each card says what was noticed, the figures behind it, and has an Open link to the screen that explains it.
  • A card closes itself when its rule stops firing: chase the overdue customer, and the card goes.
  • Later hides a card for 7 days. Dismiss hides it for good; it comes back only if the same situation arises afresh, such as a new week's sales drop.
  • Fixed something and want to see the card go now? Run the checks now under Digest & AI checks again on the spot.

The briefing

The AI assistant can sum up the figures and the open cards in a few lines: how the business is doing, anything urgent, and up to three things worth doing this week. Press Write a briefing on the Owner view to get one now. A company can also have one written every morning (see the settings below). The briefing is written in the user's language and uses only the figures it is given; if something looks odd, such as a negative total, it says so rather than drawing conclusions. A sample:

Cash stands at ₹28.45 lakh and more came in than went out this month, but sales are 11% behind the same days of September and profit is ₹3.89 lakh against ₹4.62 lakh. Customers owe ₹19.12 lakh, of which ₹4.12 lakh is overdue, and the forecast dips below zero in the 61–90 day window if nothing changes.

Worth doing this week:
– Chase the ₹4.12 lakh overdue, starting with the largest five customers.
– Check the two bills with the same supplier reference before paying either.
– Look into courier and freight, which is running at twice a normal month.

To write it, the totals and the titles of the open cards are sent to the AI service. Card titles can name customers and suppliers. Nothing else leaves your books.

Ask AI about any section

Every section has an Ask AI button. It opens the AI assistant with a ready question about that section, for example "Explain my profit for this month compared with the previous period: what drove revenue, costs and margin?" You can also type your own questions in the assistant at any time:

  • "How is my business doing this month compared with last month?"
  • "Which expenses went up this quarter?"
  • "Who owes me money, and whom should I chase first?"
  • "Will I run short of cash in the next three months?"
  • "What is my stock worth, and what is not moving?"
  • "Is there anything unusual I should know about?"

The assistant answers from the same figures as the Owner view, for the user's own branch and permissions. It explains what changed and what drove it, using only those figures, rather than guessing.

The owner digest email

The digest is an email with the headline figures and their changes, the day's briefing, the open cards, and a button that opens the Owner view. To set it up (users with company setup):

  1. Open the Owner view and click Digest & AI.
  2. Under Email the owner digest, choose Every day or Every Monday, and the hour after which it goes out.
  3. Under Send it to, tick the people who should receive it. The digest shows company-wide figures and names customers and suppliers, so choose only people who may see them.
  4. Tick Let the AI assistant write a short daily briefing if you want the briefing written every morning and included in the digest.
  5. Click Save.

Make it yours

Click Customize to choose which sections you see. Each user's choice is their own: an owner might hide Stock, a sales manager might hide People. The choice applies wherever you sign in.

AI usage and credit

Everything that uses the AI draws on your company's AI credit and is recorded under AI usage: the AI assistant, the briefing, Ask AI, document scanning, and AI Assist, the writing help in text boxes and the rich-text editor. If the credit runs out, AI Assist says so and leaves your text exactly as it was. When TamilAccounting runs a free AI period, your subscription page says so, nothing is deducted, and any credit you hold is kept for afterwards.

Frequently asked questions

Does the Owner view change anything in my books?

No. It only reads. The only things it saves are your own choices (the period, the hidden sections), the insight cards, and the digest settings.

Why does a figure differ from a report?

Check the period and the currency first. The Owner view is always in the home currency, while some reports show each customer's own currency. Sales include tax; revenue does not. The ageing follows your past-due setting, as the Aged Customer Analysis report does.

Why are there no insight cards?

Either nothing unusual was found, which is good news, or the nightly check has not run yet. It runs once a day after the hour set under Digest & AI, and only for companies with entries in the last 90 days. A user with company setup can press Check now to run it straight away.

Will it slow the dashboard down?

No. The Owner view is worked out only when you open the tab, and then kept for ten minutes.

Can a branch manager use it?

Yes. They see their own branch's figures, without the company-wide cards and briefing.

What does the AI see?

For the briefing and Ask AI, only totals and the figures on the Owner view for that user, plus the titles of the open cards. Individual transactions are not sent.

Can I switch the briefing or the digest off?

Yes. Both are off until someone with company setup turns them on under Digest & AI, and can be turned off there at any time.
